Job summary

FCC Canada is seeking a Document Control Coordinator to supervise the documentation process for multiple construction projects in Toronto. You will manage registrations, uploads, and distributions of technical documents, drawings, and correspondence.

As part of a fast-paced team, you’ll ensure data accuracy, confidentiality, and timely reporting while using tools like Aconex, Unifier, Autodesk Construction Cloud, and SharePoint.

Qualifications

  • Completion of a post-secondary education—Bachelor’s degree or College Diploma preferred—or an equivalent combination of education, training, and experience in Document Management or a related discipline
  • Minimum 3–5 years of document control experience in a construction project or site-based environment
  • Proven experience in computerized and/or manual document control management, preferably within the engineering or a related industry
  • Strong organizational skills and attention to detail
  • Proficiency in document control software and Microsoft Office Suite
  • Ability to work independently and collaboratively in a fast-paced environment

Responsibilities

Position Summary

Reports to: Document Control Lead

The Document Control Coordinator Shall Be Responsible For
  • Coordinate all activities related to the Document Control procedure (registration, uploading, transmitting) including technical documents, drawings, and commercial correspondence.
  • Following up with all discipline personnel for action items
  • Ensure Document Data accuracy in compliance with implemented procedure and policies
  • Maintain confidentiality around sensitive information and terms of agreement
  • Managing the flow of documentation within the organization and with external Project entities
  • Retrieving files as requested by individuals from different disciplines
  • Creating and managing electronic workflows
  • Reviewing document quality and proactively addressing issues
  • Collaborating with other documentation teams to ensure consistency and efficiency
  • Prepare ad-hoc reports on projects as needed
  • Perform other duties as required
  • Assists in providing training and support to new project team members on document control practices
  • Identifies and escalates system or processing issues to the Document Control Manager in a timely manner
  • Ensuring high accuracy in capturing metadata in both project and client EDMS systems (e.g., Aconex, Unifier) in accordance with reporting and auditing requirements
  • Meeting established turnaround times for processing and distributing documentation
  • Assist with post-construction document archival and retention in alignment with Project Agreement specifications
Education And Qualifications

Job Requirements
  • Experience in various electronic drawing file formats
  • Advanced proficiency with applicable software applications such as Aconex, Unifier, Autodesk Construction Cloud, MS Office,
  • Adobe Acrobat Professional, SharePoint
  • Solid understanding of project documentation and engineering terminology
  • Strong written, verbal, communication, and interpersonal skills.
  • Fluency in English
  • Exceptional organizational skills, with a proven ability to meet deadlines in a fast-paced environment
  • Prior experience in using electronic document management (Autodesk Construction Cloud, Aconex and Unifier preferred) as well as in processing both design and vendor documentation
  • Ability to document work tasks (e.g., work instructions)
  • Experience working in a site / project team environment with the proven ability to build relationships with immediate and remote team members, clients and stakeholder.
Salary Banding

$80,000 - $90,000
