  • Coordinate the resolution of customer and internal operational escalations, ensuring corrective actions are completed and communicated.
  • Manage business administration, office requirements and facilities coordination to support effective daily operations.
  • Establish practical procedures, checklists and approval processes, and ensure consistent implementation across teams.
  • Monitor operating expenses, purchasing and resource utilization in collaboration with Finance, identifying opportunities to improve efficiency and cost effectiveness.
  • Maintain operational reporting and project trackers, follow up on outstanding commitments, and provide the CEO with concise updates on performance, issues and required decisions.
People Operations
  • Lead and manage assigned employees, establish clear priorities and performance expectations, and provide regular coaching and feedback.
  • Oversee recruitment execution against approved hiring requirements, including role specifications, candidate pipelines, interview coordination, feedback and hiring administration.
  • Manage onboarding processes, ensuring new employees receive the necessary orientation, equipment, system access, training and management support.
  • Work closely with HR business partners and department leaders on staffing requirements, employee relations, policy implementation and performance management.
  • Coordinate probation assessments, performance reviews, training and employee development activities, ensuring managers complete agreed actions.
  • Oversee employee administration, including personnel records, leave, attendance, staffing changes and payroll inputs, in coordination with HR and Finance.
  • Support employee engagement and retention through effective communication, consistent management practices and timely resolution of workplace concerns.
  • Coordinate offboarding, knowledge transfer, equipment returns and access changes while maintaining confidentiality and business continuity.
External Relationships, Vendors & Partners
  • Manage day-to-day relationships with vendors, service providers, landlords, building management and operational business partners.
  • Evaluate proposals and negotiate pricing, commercial terms, service agreements and renewals within approved budgets and delegated authority.
  • Establish clear expectations for external providers and monitor delivery against agreed service standards, timelines and contractual commitments.
  • Coordinate activities and deliverables with business partners, ensuring internal teams fulfil their respective responsibilities.
  • Resolve vendor and partner service issues, commercial discrepancies and operational concerns promptly.
