Scope of Position

Our Foundation is hiring a Development Coordinator to support the successful growth of our fundraising portfolio, and to help expand our influence and impact as a public health charity. The primary focus of this role will be to execute and enhance fund development strategies and responsibilities. The successful applicant will work collaboratively with all teams to directly support the vision and mandate of Pacific Public Health Foundation.

This position currently reports to the Director of Development, while also supporting and collaborating with the Senior Development Officer, and frequently working with members of the Communications and Finance/Operations teams.


Overview of the Position:

Fundraising:

  • Support and lead the development and growth of the Annual Giving portfolio including grant applications, new and repeat donors, direct response, monthly donors, tributes, and community events/initiatives;
  • Coordination of the Direct Response program including production of copy/creative, proofing and approvals, supplier liaison, data/list review, and compiling reports and analytics;
  • Support other fundraising portfolios as needed, including Major Gifts and Legacy Giving;
  • Assist with team administrative tasks including meeting briefings and agendas, and coordination of gift/donor proposals and agreements;
  • Assist with researching and identifying new prospects and donor opportunities;
  • Provide logistical support for donor events, community events, and other donor engagement activities, including preparation of mail/email, support materials, and donor follow up.

Donor Relations & Stewardship:

  • Support stewardship and recognition practices including responsibility for ensuring thank you letters, tax receipts, and business acknowledgements are processed efficiently and correctly;
  • Gift entry and coding in the donor database (DonorPerfect) ensuring data accuracy and integrity; updating donor and prospect contact and gift information; and adherence to privacy, data compliance, and CRA rules;
  • Support the coordination and review of donor lists for Foundation initiatives occurring in all departments, including data imports/exports, approvals, mail merges, data/report updates, and tracking;
  • Support the development of mailings, digital communications and newsletters, and the creation/development of public-facing materials as needed;
  • Collaborate with the other teams to ensure consistency in procedures and data accuracy across donor database and financial software systems;
  • Support other teams/departments, as needed.

General Administration:

  • Prepare regular reports and analytics for senior staff, as required;
  • Support general office administration including booking meetings, telephone/in-person inquiries, office upkeep, and back-up to team members, as required;
  • Other duties, as required.


Requirements:

  • Proven experience working in non-profit organizations would be an exceptional asset, however having an appreciation and interest in learning about fundraising is required;
  • Strong relationship-building skills with an ability to develop a positive rapport with a diverse range of individuals;
  • Proven experience with managing competing priorities efficiently and accurately;
  • Ability to support diverse project needs while meeting deadlines, along with thorough attention to all details and consistent follow through;
  • Experience with data-entry/use of CRMs such as DonorPerfect;
  • Excellent computer skills and experience with Microsoft Office applications;
  • Strong oral and written communication skills;
  • Experience collaborating with and supporting the needs of external audiences, including the general public, clients/customers, consultants and contractors;
  • Understanding of public health, a health-related field, and/or public and community engagement would be a strong asset;
  • Grant writing experience would be of value, or past experience writing or speaking about complex ideas grounded in social justice or social change, or possess an acute interest in learning skills in relation to this area;
  • An understanding of, and passion for, working in a small and dynamic growing organization where communication and teamwork is paramount;
  • Commitment to the vision, mission, values, principles, and priorities of Pacific Public Health Foundation;
  • While this is a hybrid WFH/office position, there is an expectation that the person in this role may be required to work additional days in office when donation volume increases, for example after a Direct Response mailing where gift entry and receipting must be completed in office.
  • Ability to work flexible hours on occasion, based on pre-planned activities like early meetings or late/weekend events.
