Job summary

TCHC in Toronto is seeking a Development Assistant to provide administrative support to a team of Senior Development Managers and Senior Construction Managers overseeing municipal approvals, development and construction of residential and mixed-use projects. The role requires strong organizational skills, confidentiality handling, and the ability to work independently in a fast-paced environment.

The hybrid work arrangement allows some days from home with on-site days at the Development

Qualifications

  • Minimum of three (3) years of progressive administrative experience.
  • Post-secondary degree or diploma in a relevant field (urban planning, architecture, engineering) or work experience in a comparable office setting is an asset.
  • Experience with development and/or construction industry and processes.
  • Superior time management skills and an ability to multi-task and deal effectively with competing demands.
  • Ability to prioritize conflicting tasks, meet simultaneous demands and deal with difficult situations.
  • Proven customer service skills to respond to inquiries from diverse stakeholders.
  • Demonstrated oral and written communication skills for reports and correspondence.
  • Computer proficiency with MS Word, Excel, Microsoft Project, PowerPoint, Access, Adobe, InDesign.

Responsibilities

  • Maintain electronic and paper filing system for current projects.
  • Manage a schedule of real estate development matters and deadlines.
  • Prepare project updates, presentations and briefing notes for project managers and directors.
  • Coordinate meetings and circulate minutes for project managers and directors.
  • Coordinate meetings for internal and external parties including City staff.
  • Process payments and invoices.
  • Prepare confidential memos, reports and correspondence.
  • Conduct research using Realnet, Urbanation and City of Toronto reports.
  • Respond to inquiries from internal and external stakeholders.
  • Prioritize workload to meet deadlines for multiple managers and directors.
  • Provide logistical support for divisional, corporate, tenant or community events; some evenings/weekends required.
  • Promote tenant participation, community development, anti-racism, anti-ableism and health and safety in all work practices.

We are looking for a Development Assistant to provide sound administrative assistance and program support to a team of Senior Development Managers and Senior Construction Managers in charge of the municipal approvals, development and construction of a significant number of residential and mixed-use projects within the City of Toronto.

The successful candidate will coordinate all administrative operations to support the Development team and related reporting tasks in a manner that aligns with TCHC’s tenant focused culture. Development initiatives consist of a mix of high-rise and low-rise multi-family residential units, and street retail. Projects are developed with an intentional balance of affordable rental, affordable ownership and market housing in both high-rise and low-rise building forms.

The Development Division is a fast-paced work environment and as such you must be extremely organized, able to deal with competing priorities and have excellent communication and time management skills. You will handle highly confidential and sensitive information concerning real estate, development and construction matters. You are a self-starter and will be required to work with a high degree of independence, utilizing tact and good judgment. The Development Assistant position is a progressive opportunity to become exposed to and further involved in the active development portfolio of Toronto Community Housing.

What you’ll do
  • Maintain electronic and paper filing system for current projects

  • Maintain project schedules and prepares project updates, presentations and briefing notes for project managers and directors
  • Coordinate meetings, prepares and circulates meeting minutes for project managers and directors
  • Coordinate meetings for internal and external parties including City staff
  • Process payments and invoices
  • Prepare confidential memos, reports and correspondence
  • Conduct research and compiles statistical information regarding real estate and land development (using Realnet, Urbanation, City of Toronto development reports, etc.)
  • Respond to a variety of verbal and written inquiries from internal and external stakeholders including: TCH staff, project consultants, external organizations and the general public
  • Prioritize workload and activities to meet deadlines for multiple managers and directors
  • Working as a member of the Divisional administrative team, applies initiative and utilizes independent judgment in performing tasks with minimal supervision
  • Provide logistical support and assist with the organization and execution of divisional, corporate, tenant or community consultation events. (i.e. prepares communication materials, displays and equipment); attendance at some evening and weekend events is required
  • Promote and incorporate tenant participation, community development, anti-racism, anti-ableism and health and safety in all work practices and change initiatives
  • Undertakes special assignments
What you’ll need

  • Demonstrated oral and excellent written communication skills are required to conduct research, design presentations/graphics materials, generate reports, compose correspondence and respond to information requests from a wide range of internal and external contacts
  • Computer proficiency to utilize numerous software packages to design presentations and generate various statistical displays and graphics (i.e. MS Word, Excel, Microsoft Project, PowerPoint, Access Adobe, InDesign etc.)
