Job summary

Royal Victoria Regional Health Centre is seeking a Development Assistant to support the Keep Life Wild campaign. The role provides administrative and operational support to the Director of Development and the Campaign Cabinet, coordinating meetings, materials, and donor communications.

Qualifications

  • 2 to 3 years of administrative experience in a not-for-profit, hospital foundation, healthcare, fundraising, or similarly complex organization.
  • Experience providing calendar management, meeting coordination, agenda preparation, briefing material support, and action-item tracking for senior leaders, executives, volunteer committees, or boards.
  • Experience working with donor databases, CRM systems, or fundraising software; proficiency in Blackbaud’s Raiser’s Edge and/or NXT is an asset.
  • Advanced proficiency with Microsoft Office suite.
  • Governance experience and an understanding of fundraising principles and donor stewardship practices are assets.
  • Effective interpersonal skills and an approach to others that is compassionate, mindful, optimistic, and grateful, while maintaining the highest level of confidentiality.
  • Proven ability to work collaboratively with coworkers and coordinate the work of the many people who contribute to securing major gifts.
  • Critical thinker with a common-sense approach to decision making and problem solving.
  • Strong organizational skills, with the ability to manage competing and often complex priorities.
  • Ability to research, compile, and summarize detailed information into clear briefings.
  • Carries out the role with ownership, initiative, flexibility, sound judgment, and the ability to work proactively.
  • Ability to use AI-based productivity tools such as Copilot is an asset.

Responsibilities

  • Manage a complex calendar for the Director, Development, proactively coordinating meetings, resolving scheduling conflicts, and helping ensure priorities are effectively managed.
  • Administer in-person and virtual meetings, including scheduling, room or virtual platform booking, agenda preparation, materials distribution, minute-taking, and follow-up on action items.
  • Coordinate Campaign Cabinet meetings and activities, including reports, materials, records, contact lists, onboarding documentation, and volunteer engagement activities.
  • Coordinate the onboarding and orientation of Development Team staff and Campaign Cabinet volunteers.
  • Support the creation of prospect research reports, donor call plans, briefing notes, donor correspondence, agreements, and stewardship reports.
  • Coordinate donor meetings, private donor tours, and select stewardship activities, including preparation and follow-up.
  • Maintain accurate and timely donor, prospect, activity, and major gift records within Raiser’s Edge NXT, ensuring data integrity and adherence to fundraising database standards and procedures.
  • Carry out regular administrative reporting processes for the Development Team and support planned giving documentation and administrative tasks.
  • Provide coverage for the Senior Administrative Assistant and Donor Relations Assistant when required.
  • Participate in Foundation events, including those that may fall on evenings and weekends.
  • Adhere to the AFP Code of Conduct, live the RVH values every day, demonstrate professionalism and discretion, and contribute to a positive team culture.

Job Summary & Requirements

RVH Foundation has launched its historic $100M Keep Life Wild campaign to support the vital expansion of the Royal Victoria Regional Health Centre, one of the busiest and most advanced regional health centres in Ontario, and home to many specialized regional programs including cancer, cardiac, stroke and mental health.

The Development Assistant is a key contributor to achieving the $100M campaign goal by providing administrative and operational support to the Director, Development and the Keep Life Wild Campaign Cabinet. This role coordinates volunteer engagement activities, supports campaign governance and meeting administration, manages schedules and logistics, and prepares materials and briefings that help advance fundraising priorities and volunteer-led initiatives.

This role is hybrid, working both from home and in-office based in Innisfil two days per week.
