Job summary

Qualifications

  • Excellent written and verbal communication; ability to manage priorities.

OVERVIEW

Working in a flexible work style arrangement and reporting to the Team Manager of Customer Success, this position supports the Group Sales business through administrative, operational, and customer support activities that contribute to a positive advisor and client experience. The role works closely with account executives, advisors, underwriting teams, and internal business partners to prepare proposals, maintain accurate records, process enrolments, support book of business changes, and ensure new business opportunities and advisor and client administration are completed accurately, efficiently, and within business systems.

WHAT YOU WILL DO
New Business Administration & Proposal Support
  • Enter and maintain quote information within quoting systems and other business applications.
  • Prepare, assemble, and distribute proposal documents and supporting sales materials.
  • Review submissions for completeness and identify missing information or requirements.
  • Support account executives with administrative activities related to prospective and new business opportunities.
  • Ensure information is accurately transferred between systems and documentation.
Advisor & Book of Business Administration
  • Process advisor changes and maintain advisor records.
  • Complete book of business updates and ownership changes.
  • Maintain accurate client, advisor, and policy information across applicable systems.
  • Support internal stakeholders with information requests and updates.
Enrolment & Transaction Processing
  • Process enrolments and related administrative transactions.
  • Verify information accuracy and completeness prior to processing.
  • Monitor transactions and resolve discrepancies through collaboration with internal partners.
  • Ensure work is completed within established service standards and quality expectations.
Stakeholder Support & Collaboration
  • Build positive working relationships with account executives, advisors, brokers, underwriting teams, and internal business partners.
  • Respond to inquiries and provide administrative support related to new business and in‑force activities.
  • Communicate effectively with stakeholders regarding outstanding requirements and processing status.
  • Contribute to a consistent and professional advisor experience.
Operational Excellence & Continuous Improvement
  • Maintain a high level of accuracy and attention to detail.
  • Identify opportunities to improve workflows, reduce errors, and enhance efficiency.
  • Participate in process improvement initiatives and special projects.
  • Support operational controls, documentation standards, and compliance requirements.
  • Contribute to a collaborative team environment focused on service excellence and continuous learning.
WHAT YOU WILL HAVE
  • Post‑secondary education such as diploma or Bachelors in Business Administration, Commerce, Marketing, Communications, or a related field would be considered an asset.
  • Prior completion of Life (LLQP), accident & sickness insurance licensing is considered an asset.
  • Minimum 2 years of experience in administration, customer service, sales support, insurance operations, or a related environment in a client‑facing role.
  • Strong understanding of administrative processes and attention to detail.
  • Proficiency in Microsoft Office applications and the ability to navigate multiple systems simultaneously.
  • Strong organizational and time‑management skills with the ability to manage competing priorities.
  • Excellent written and verbal communication skills.
  • Demonstrated problem‑solving ability and sound judgment.
  • Commitment to continuous learning and professional development. GBA, CEBS, or other industry‑related education is considered an asset.
  • A customer‑focused mindset with the ability to build positive relationships and provide responsive, professional support to advisors, clients, and internal stakeholders.
  • Adaptability and flexibility to respond effectively to changing priorities, evolving processes, and business needs.
  • A strong sense of accountability, ownership, and follow‑through to ensure work is completed accurately, efficiently, and within established expectations.
  • Ability to work independently while contributing to a collaborative team environment.
