Job summary

Three H Furniture Systems Limited is seeking a Customer Service / Warranty & Claims Representative in Ontario. You will take ownership of warranty claims, shipping damages, replacements, and credits, ensuring adherence to policy and timely resolution.

The role requires strong problem-solving, organization, and excellent communication. You'll gather required documentation, create and manage orders, and maintain clear records while collaborating with dealers, sales reps, and the Finance team.

Responsibilities

• Take ownership of customer service requests, warranty claims, and replacement orders and follow the approved resolution to completion.
• Gather documentation and customer details to ensure fair, well-founded decisions.
• Create and manage replacement, service, backorder, and credit orders accurately.
• Communicate clearly with dealers, sales reps, suppliers, and customers and keep them updated.
• Collaborate with colleagues across departments to resolve issues and support the team during busy periods.
• Maintain accurate records to prevent items from falling through cracks.
• Manage claims with logistics carriers from filing to resolution.
• Process smaller orders with the same care as larger orders.
• Process dealer credit notes related to warranty claims with the Finance team.
• Identify patterns in claims and suggest process improvements.

The Opportunity

As ourCustomer Service / Warranty & Claims Representative, you're the personcustomers, dealers, and sales representatives count on after an order ships.When something needs attention - a warranty claim, shipping damage, areplacement, or a credit - you take ownership of it and see it through to aresolution people feel good about.

What You'll Do

• Takeownership of customer service requests, warranty claims, and replacement orders- reviewing each one, deciding the right resolution under our policies andwarranty guidelines, and following it through to the end.
• Gatherwhat's needed to resolve a claim well - photographs, shipping documentation,and customer details - so decisions are fair and well-founded.
• Createand manage replacement, service, backorder, and credit orders accurately in oursystems.
• Communicateclearly and professionally with dealers, sales representatives, suppliers, andcustomers - listening first, and keeping people updated until their issue isfully resolved.
• Workclosely with colleagues across departments to get issues resolved, and step into support the team during busy periods or on larger projects.
• Keepaccurate, honest records throughout, so nothing falls through the cracks.
• Manageclaims with logistics carriers for shipping damage, following each one throughto resolution.
• Processsmaller orders - sample materials, hardware, and courier requests - with thesame care as the big ones.
• Processdealer credit notes related to warranty claims, working closely with the Financeteam.
• Noticepatterns in the claims you handle and suggest better ways to work - clearerdocumentation, smoother processes, and fewer repeat issues.

How Decisions Work

You'llhandle routine claims and service requests within our established policies.Anything non-standard - larger credits, warranty exceptions, or an escalation - you'll flag and work through with the Customer Service Manager.

• Knowledgeof office furniture products or manufacturing processes.
• Familiaritywith SketchUp or CAD.
• Experiencehandling warranty claims, shipping/logistics claims, or dealer relationships.
• Astandard, collaborative office environment.
• Nosignificant environmental risks or workplace hazards are associated with thisposition.
• Comfortableworking at a desktop computer, seated or standing, for extended periods.
