Title

Corporate Legal Assistant (*1 Year Contract*)

Reports To:

Senior Vice President, Legal & Corporate Secretary

Position Summary

The Corporate Legal Assistant to our SVP, Legal & Corporate Secretary provides superior administrative support and coordination to the members of our Legal Department. This role is primarily responsible for calendar management, email management, meeting preparation, legal administration and other administrative services and may include support and assistance for project management within those groups. The ideal candidate for this role should possess the ability to work well with people of diverse backgrounds and skills, manage time effectively, think strategically and act proactively to address potential challenges or opportunities within the department.

Responsibilities:
  1. Manage calendar and schedule/reschedule all meetings and appointments for the SVP Legal and other members of the Legal Department, as required
  2. Develop and maintain a well-organized filing system that permits ease of reference and rapid retrieval of information and documents
  3. Coordinate execution and notarization, if required, of various documents
  4. Book boardrooms, prepare agendas, meeting material and meeting minutes
  5. Prepare reports and correspondence
  6. Respond to/screen telephone calls and emails
  7. Handle all incoming/outgoing mail as well as mail to be sent out by courier
  8. Coordinate with the board of trustees for meetings and other trustee requirements and assist in preparing board and board committee materials
  9. Draft and review resolutions, termination notices, legal letters and other ancillary documents
  10. Research and prepare memos on legal-related matters
  11. Assist with continuous disclosure matters under applicable securities laws
  12. Coordinate and execute acquisition/disposition related requests, including due diligence requirements
  13. Provide support for property acquisitions and dispositions, financing and re-financing transactions and land development matters
  14. Coordinate external counsel and/or other vendor/purchaser’s counsel to ensure timely closing of transactions
  15. Prepare expense reports
  16. Coordinate review and payment of invoices
  17. Coordinate various department needs of the Legal Department
  18. Organize team events to foster engagement amongst the Legal Department
Qualifications:
  1. 5-10 years providing legal support
  2. Prior experience working in a legal environment
  3. Post-secondary diploma or certificate from a Law Clerk program (an asset)
  4. Excellent verbal and written communication skills and strong attention to detail
  5. Working knowledge of Microsoft Word, Excel, PowerPoint, Outlook and Diligent Boards
  6. Excellent organizational and scheduling skills
  7. Strong analytical, critical thinking and creative thinking skills
  8. Client-service oriented, including strong interpersonal and relationship building skills
  9. Proven ability to multi-task, work well under pressure and tight deadlines and adjust to changing needs of the department
  10. Ability to work in a team
