Job summary

Cooke Aquaculture Inc. in Saint John, NB, is seeking a highly organized Corporate Aircraft Scheduler to join our aviation team.

Reporting to the Chief Pilot, you will coordinate executive air travel, schedule aircraft, crews, and maintenance, and ensure accurate itineraries and passenger manifests for international trips. The role requires strong administrative skills, discretion, and the ability to work both independently and in a team.

Qualifications

Responsibilities

  • Coordinate aircraft, crew, and maintenance schedules to support executive travel requirements.
  • Assist with trip planning to ensure efficient use of aviation resources, resolving scheduling issues as they arise.
  • Manage itinerary and passenger manifest changes, communicating updates to flight crews and stakeholders.
  • Provide on-call scheduling support during assigned standby periods, including evenings, weekends, and holidays.
  • Respond to aircraft scheduling requests received through phone and email.
  • Maintain accurate trip information and scheduling records within the scheduling system.
  • Verify that passengers have the required passports, visas, and travel documentation for international travel.
  • Coordinate ground transportation arrangements with operations at destination locations.
  • Prepare management reports and support chargeback review and approval processes.
  • Ensure aircraft and passenger waiting areas are clean, organized, and stocked with required amenities.

The Role

Cooke is looking for a highly organized Corporate Aircraft Scheduler to join our aviation team. Reporting to the Chief Pilot, this position is based at our hangar at Saint John Airport and is responsible for coordinating executive air travel and aircraft scheduling activities.

Responsibilities:
  • Coordinate aircraft, crew, and maintenance schedules to support executive travel requirements.
  • Assist with trip planning to ensure efficient use of time and aviation resources, resolving scheduling issues as they arise.
  • Manage itinerary and passenger manifest changes, communicating updates to flight crews and stakeholders.
  • Provide on-call scheduling support during assigned standby periods, including evenings, weekends, and holidays.

Duties:
  • Coordinate with pilots to confirm aircraft suitability and crew availability for scheduled trips.
  • Prioritize and resolve scheduling conflicts when multiple trip requests arise.
  • Collaborate with requesters to identify alternative dates or times when aviation resources are unavailable.
  • Finalize itineraries, passenger manifests, and service requirements for confirmed trips.
  • Maintain and update aircraft and crew schedules, ensuring timely communication of changes.
  • Manage enroute itinerary and passenger manifest changes, communicate updates to operations, and assess impacts on other scheduled activities while notifying appropriate stakeholders.
