Job summary

Rush Truck Centres of Canada is seeking a Core Administrator for our London, ON dealership. This role focuses on processing, tracking and reconciling core returns and warranty cores to maximize credits and keep inventory accurate.

You will work Monday to Friday in a full-time capacity, with safety and vendor compliance at the forefront. You will handle core-related POs, PODs, and shipments, monitor eligibility, and support cross-training across parts functions.

Qualifications

  • Two years’ parts inventory experience in a dealership environment.
  • Ability to multitask, be flexible and adapt to change readily.
  • Excellent organization and communication skills.
  • Team player with a strong commitment to customers and colleagues.
  • Valid forklift certificate and TDG certification are required.

Responsibilities

  • Process, track, and reconcile core returns and warranty cores to ensure maximum credit recovery.
  • Maintain inventory accuracy and comply with vendor, safety and environmental requirements.
  • Operate forklift or hand truck to move shipments as needed.
  • Prepare core-related POs, transfers and PODs with accuracy.
  • Monitor core shipments, eligibility, and related reporting for multiple vendors.
  • Support cross-training and other Rush core-related duties as assigned.

The Core Administrator reports to the Parts Manager and is responsible for the efficient processing, tracking, and reconciliation of core returns and warranty cores to ensure maximum credit recovery, inventory accuracy, and compliance with vendor, safety, and environmental requirements. This is a full‑time position Monday to Friday at our London, ON dealership located at 90 Enterprise Dr, London, ON N6N 1A8.

Responsibilities

CORES:

  • Ensure compliance with all Occupational Health and Safety Act (OHSA) regulations, as well as the Company’s Health and Safety Policy.
  • Code Credits for Accounts Payable – Monitor ZVCA and send POD to Vendors to obtain outstanding core credits.
  • Credit Cores returned by Parts Drivers or prepare unacceptable cores for return to customers as needed
  • Ensure that outgoing shipments meet specifications. - ie. Shipment of Dangerous Goods
  • Present a clean and professional appearance, and act in a manner that projects a positive image of the Company to clients, customers, co‑workers, and the public.
  • Find cores – in shop/wash bay, outside/shipping/delivery trucks, communicate with drivers
  • Follow‑up on core shipments to ensure credit, note damaged core penalties, challenge Core Criteria/ credits as necessary (ie. cores shipped yet omitted from credit)
  • Inspect all cores prior to shipment to verify they meet Vendor Criteria
  • Learn and share current Core Inspection Criteria with Parts Counterpersons, Outside Salesperson, Customers etc. as needed
  • Monitor & ship Battery Cores, locate battery cores in secure location to prevent theft
  • Monitor, update and correct Dirty Core inventory in an accurate and timely manner.
  • Operate forklift or use hand truck to move, convey or hoist shipments from Shipping‑Receiving, storage or work area onto transport vehicles or trailers as needed.
  • Other related duties as assigned by management from time to time.
  • Participate in cross‑training of other parts related functions i.e., Core returns
  • Prepare and verify core return POs & monitor ZVCA (Vendor Core Aging Report)
  • Prepare Core Transfers of Eligibility for Cores obtained from other International Dealers
  • Prepare online core return forms & monitor POD for:
    • GF259 for Navistar via Canadian Core Center
    • CUMPAS web return for Cummins
    • ISUZU web shipment
  • Prepare & monitor receipt of POD Core Shipment Forms for other Vendors
  • Sort Cores by Vendor using Virtual Core Bins, Prepare Cores for shipment
  • Send Customer Core Entitlement reports to Outside Salespersons or customers upon request
  • Other related duties as assigned by management.

WARRANTY ROOM:

  • Cummins Warranty Cores – attach Failed Material Tags as needed
  • Find/ship Failed Material Returns – liaison with Service Dept. warranty administrator
  • Maintain Warranty Room – move parts to correct shelf, eliminate non‑warranty cores
  • Remove Large Parts from Warranty Room – wrap and store on skids outside shipping
  • Return “cores” for which no core deposit was paid if sufficient eligibility exists:
    • code to 524120 using account assignment 1 on core return POs
  • Train Parts Personnel as needed
  • Transfer credited Warranty Cores from warranty bin 701‑01‑A to appropriate vendor bin in partnership with Service Department warranty administrator when approved for shipment:
    • Warranty Cores from International – attach Parts Return Authorizations to avoid unnecessary penalties from Navistar

Additional Responsibilities:

Reporting to the Director of Parts this position is responsible for the following:

  • Ensure compliance with all Occupational Health and Safety Act (OHSA) regulations, as well as the Company’s Health and Safety Policy.
  • Account Corrections for Banked Core for RUSH Truck Centres of Canada
  • Arrange purchase of cores with 60 – 90 days eligibility remaining in joint RUSH account 9701160 from Brokers on a bi‑monthly basis
  • Assist with monitoring, updating and correcting Dirty Core inventory for other RUSH locations as needed
  • Combined shipment of Alliant Power cores for Rush Canada to US; process STOs
  • Learn, clarify and share current (new) Core Inspection Criteria with Director of Parts and Parts Managers as needed
  • Liaison with Vendors regarding Buyback options, core return process
  • Monitor Joint Eligibility under STC 9701160
  • Participate in developing Policy and Training of Core Processing
  • Prepare STO’s to Transfer Cores to/from other RUSH Locations as needed
  • Supply Bendix Change Over Tags upon request
  • Training/Support for other Rush Truck Centres core personnel/management as needed
  • Other related duties as assigned by management

Basic Qualifications

  • High school diploma.
  • Two years’ parts inventory experience in a dealership environment.
  • Ability to multitask, be flexible and adapt to change readily. Excellent organization and communication skills.
  • Team player with a strong sense of commitment to the customer and the parts team.
  • Valid Forklift Certificate.
  • Valid Transportation of Dangerous Goods Certificate.
  • Must possess a current and valid driver license with a driving record that meets the insurability guidelines set forth by the company’s insurance carrier.
  • Criminal Background check.
  • Driver’s Abstract.
