Job summary

Alto invites a Coordinator, Strategic Governance to support internal and external governance activities for a high-impact Canada train project. The role coordinates committees, schedules, documentation, and follow-up, while delivering administrative and Secretariat support.

The ideal candidate has a diploma or certificate in administration, at least three years of related experience, strong MS Office skills, and excellent communication in both official languages.

Qualifications

  • Diploma or certificate in administration, or an acceptable combination of education, training and experience.
  • Minimum of three years of relevant experience in committee coordination, governance administration, executive support, project coordination, or a related environment.
  • Ability to maintain good relations with various external partners.
  • Proven analytical and synthesis skills.
  • Openness to travel occasionally.
  • Solid experience with Microsoft Office Suite.
  • Good communication and diplomatic skills, both verbal and written and in both official languages.
  • Rigorous, organized and respectful of deadlines.
  • Ability to think ahead of issues that may arise.

Responsibilities

  • Coordinate the day-to-day administration of internal and external governance committees, including meeting calendars, agendas, documentation, and follow-up activities.
  • Support the Secretariat Lead in advancing committee materials, decisions, approvals, and action items through established governance processes.
  • Liaise with internal stakeholders, Transport Canada, and other government departments or external partners to coordinate meetings and related requirements.
  • Arrange virtual and in-person meeting logistics, including facilities, participant communications, and supporting materials.
  • Review committee materials for completeness, consistency and quality.
  • Coordinate the timely collection, preparation, approval, and distribution of agendas, briefing materials, presentations, and other committee documents.
  • Prepare meeting records and post-meeting materials, including minutes, decision records, action logs, and follow-up correspondence, as required.
  • Prepare concise status updates, summaries, and meeting debriefs to support the Secretariat Lead and management.
  • Conduct research and analysis and provide information to support governance-related recommendations and decisions.

Would you like to take on a stimulating, high-impact challenge? We are looking for a Coordinator, Strategic Governance. Please note that the candidate may be based in one of our 2 offices: Montreal or Ottawa.

The role

Reporting to the Senior Director, Strategic Policy and Partnership, the Coordinator, Strategic Governance supports the effective operation of internal and external governance committees. The role coordinates committee schedules, documentation, meeting logistics, and follow-up activities while providing administrative and Secretariat support. The ideal candidate is proactive, highly organized, demonstrates sound judgment, and can manage multiple priorities involving internal and external stakeholders.

The Requirements

  • Great capacity for initiative and taking charge of files, proactive in identifying issues and finding solutions, comfortable working independently and prioritizing files.
  • Ability to work in an environment with sometimes limited clarity on next steps.
  • Proven analytical and synthesis skills.
  • Openness to travel occasionally.
  • Solid experience with Microsoft Office Suite.
  • Good communication and diplomatic skills, both verbal and written and in both official languages.
