Job summary

About the Role

This is an exciting opportunity for an individual who is collaborative, well organized, people centred, and who is passionate about building a positive company culture.

As the Coordinator, HR & Administration, you will ensure that HR policies and procedures are up to date, in line with our collective agreement terms, and communicated to all employees. You will provide ongoing support and coordination relating to various HR functions, including recruitment processes, responding to HR queries, administering benefits, keeping accurate employee records, onboarding, and more.

The successful candidate will report to the Manager of Operations, and will work in collaboration with other members of the operations team and the Executive Committee.

Responsibilities
  • Recruitment & Onboarding: Manage end-to-end recruitment and hiring processes for lawyers and support staff, including candidate sourcing, application screening, interview scheduling, and managing offer letters & employment contracts. Lead employee onboarding, including benefits administration, training schedules, IT set-up, workspace planning, and Day 1 training and introductions.
  • HR Policies, Compliance and Culture: Work with the team to develop and update policies and ways of working to advance an open and supportive work environment. Communicate HR policies and procedures to staff as required. Ensure compliance with collective agreements and relevant labor laws.
  • Daily Operations: Receive, respond to, and coordinate coverage for support staff vacations and absences, including daily communications across departments and distributing urgent workload.
  • Benefits & Leaves Administration: Administer benefit plans, support staff enrollment, status changes, and claims issues. Oversee leave administration, including insurance coordination and return-to-work reintegration.
  • Employee life cycle: Support employee feedback meetings, performance management, and terminations as needed.
  • Meeting Coordination & Social Committee: Assist with scheduling and organizing firm management meetings, preparing materials, and record keeping. Serve on the Social Committee to strengthen culture-building initiatives.
  • Event Coordination: Assist in organizing events that support business development, such as panels, seminars, conferences, client events, and firm social events.
  • Communications: Coordinate updates of internal website content. Support internal communication strategies to keep the team informed.
  • Health & Safety: Stay abreast of health & safety legal requirements, participate in the health & safety committee, and support Health & Safety plans.
  • Records keeping: Maintain HR records and tracking sheets, overtime, lieu time, and total rewards information in ADP Workforce Now, ensuring accurate and compliant recordkeeping.
Job Requirements
  • Prior experience in HR and office administration.
  • Knowledge of HR best practices, labor laws, benefits administration, and internal communication tools.
  • Ability to address HR issues, communicate policies, and provide practical solutions.
  • Ability to monitor and interpret changes in HR regulations.
  • Demonstrated ability to build trust and maintain reciprocal relationships with a wide range of individuals.
  • Effective time management, prioritization and organizational skills, with the ability to work independently and collaboratively.
  • Strong attention to detail, accurate recordkeeping, and efficient administration.
  • Excellent interpersonal, verbal and written communication skills (English).
  • Ability to handle confidential information with care and discretion.
  • Strong work ethic and high level of integrity.
  • Strong technical skills with MS Word, Excel, PowerPoint and document management systems.
  • Strong commitment to advancing equity, accessibility, and inclusivity in internal processes and policies.
Assets
  • Prior HR experience in a unionized environment.
  • Degree or professional designation in HR (e.g., CHRP).
  • Sense of humour.
Required Qualifications & Work Environment
  • Applicants must be legally entitled to work in Canada.
  • Physical demands may require many hours sitting, walking, bending, keyboarding, and occasional lifting of up to 25 lbs.

Target Hiring Salary Range: $65,000–$70,000* based on 40 hours per week. Salary will be adjusted within the range based on the successful candidate’s skills and relevant experience.

Benefits: Comprehensive benefits package, pension participation, and vacation/personal/paid-sick days entitlements (3 weeks of vacation per year).

Location: Toronto, ON. This is a hybrid role. The successful candidate will be expected to work at our Toronto office (474 Bathurst Street) a minimum of three days per week.

Term: Full-Time Indefinite.

Position: This role is to fill an existing position that will be vacant at the end of August 2026/early September.
