Job summary

Linde Canada Inc. is seeking a Facilities & Mailroom Coordinator to support day-to-day operations of the Facilities Department in Mississauga.

You will manage mail, couriers, office supplies, coffee stations and general workplace operations to maintain a smooth office environment. You will also act as a point of contact for visitors, deliveries, and facility-related needs, ensuring health and safety compliance and timely responses to requests.

Qualifications

  • High school diploma or equivalent.
  • Experience in mailroom, facilities or administrative support.
  • Experience handling courier shipments (Purolator, FedEx, Canada Post).
  • Familiarity with international shipping and customs docs is a plus.
  • Ability to lift/move packages up to 50 lbs.
  • Strong MS Office skills (Outlook, Excel, Word).
  • First Aid CPR/AED Level C preferred; training can be provided.

Responsibilities

  • Manage incoming/outgoing mail and courier shipments ensuring on-time delivery.
  • Coordinate maintenance of mailroom equipment and review courier invoices.
  • Respond to mailbox/voicemail inquiries and support document management.
  • Prepare AP invoices and bulk shipping docs for imaging and records.
  • Maintain meeting rooms and ensure spaces are ready for use.
  • Support workplace safety initiatives and assist WH&S committees.

Coordinator - Facilities & Mailroom Service (full time)

The Facilities & Mailroom Coordinator is responsible for supporting the day-to-day operations of the Facilities Department. This hands-on role ensures the efficient handling of mail and courier services, maintains office supplies and office equipment, maintains coffee stations and related supplies, and supports general workplace operations to provide a smooth and professional office environment.

This position also serves as a key point of contact for visitors, deliveries, and facility-related needs.

What you will enjoy doing*
  • In this role, you will manage incoming and outgoing mail and courier shipments, ensuring documents and packages are processed, sorted, and distributed accurately and on time
  • You will coordinate the maintenance and servicing of mailroom equipment, including postage and inserter machines, and review courier invoices for coding and processing
  • Part of your day will involve monitoring and responding to general mailbox and voicemail inquiries, helping ensure requests are addressed promptly
  • You will support document management activities by preparing Accounts Payable invoices and bulk shipping documents for daily imaging and recordkeeping
  • You will help maintain meeting rooms, ensuring spaces are properly set up and ready to support business needs
  • Maintaining utility rooms, coffee stations, office equipment supplies, and the Canadian print fleet will be an important part of keeping the workplace running smoothly
  • The role includes managing and distributing printed communications, maintaining bulletin boards, and serving as a key point of contact for facility-related requests
  • You will support workplace health and safety initiatives by serving as a First Aid responder, maintaining first aid and AED equipment, and assisting the Workplace Health and Safety Committee
  • Flexibility is important, as the role may occasionally require work outside of regular business hours and involvement in special projects or additional assignments
  • Above all, you will help maintain a safe, organized, and efficient workplace while adhering to all company safety policies and procedures

  • The role is ideal for someone with a high school diploma or equivalent, along with at least one year of experience in a mailroom, facilities, or administrative support environment
  • You have experience handling courier shipments and receiving processes with providers such as Purolator, FedEx, and Canada Post will help you succeed in the role
  • Familiarity with international shipping and customs documentation would be considered a strong asset
  • The position includes physical responsibilities, so you should be comfortable lifting and moving packages, tables, and chairs weighing up to 50 pounds
  • Strong computer skills are important, particularly with Microsoft Office applications such as Outlook, Excel, and Word
  • A Standard First Aid CPR/AED Level C certification is preferred, although training can be provided if needed
  • Experience working with mailroom and office equipment—including postage meters, copiers, and audiovisual equipment—is beneficial
  • The role requires excellent customer service and interpersonal skills, with the ability to build positive relationships across the organization
  • Strong written and verbal communication skills, combined with a high level of organization and attention to detail, are essential

This is an existing position with a starting annual salary of $51,650.00
