Position : Coordinator, Events and Communications

POSITION OVERVIEW
Main responsibilities :
- Event Management :
- Organize or assist in organizing approximately twenty events per year (conferences, galas, lunch talks, panels, workshops, etc.).
- Develop promotional tools and implement timelines for activities under your responsibility.
- Prepare event planning schedules and ensure follow-up.
- Draft schedules and run-of-show documents; compile lists of materials and staffing needs for each event.
- Coordinate and guide organizing committees for major events (conferences, galas) in collaboration with the CEO.
- Monitor budgets strictly and ensure compliance with administrative processes.
- Research suppliers, request quotes, validate, and negotiate contracts.
- Contribute to achieving event objectives within budgets and timelines set by management.
Communication and Content Management :- Develop communication plans based on project requirements.
- Draft press releases and manage publication through Cision.
- Create and update email signatures.
- Format documents and design visual assets.
- Support various projects, such as the student mentoring program.
- Participate in optimizing business processes and project management tools.
Newsletter Management :- Design and implement newsletter campaigns to promote events.
- Ensure newsletters follow brand guidelines and support layout as needed.
- Incorporate partner and event content into weekly newsletters.
- Maintain contact databases and implement subscriber recruitment strategies.
- Track newsletter performance and suggest improvements.
- Upload content in French and English; create tailored visuals when necessary.
- Analyze and monitor event registrations.
Social Media Management :- Develop and implement a content strategy for LinkedIn to enhance visibility and engagement.
- Create and publish engaging content (texts, images, videos).
- Track performance metrics and analyze KPIs.
Partnership Support :- Format partnership plans and follow up on commitments.
- Ensure partnership plans are fulfilled through events and communications.
- Prepare annual accountability reports.
YOUR QUALIFICATIONS, SKILLS, AND ASSETS
- Degree in a relevant field (e.g., business, event management, communications).
- Minimum of three (3) years of experience in a similar role.
- Demonstrated rigor, initiative, autonomy, and organizational skills.
- Solid knowledge of social media platforms.
- Creativity and strong analytical skills.
- Excellent communication skills in French (written and oral), and good knowledge of English.
- Diplomacy, discretion, and confidentiality.
- Strong skills in writing, editing, and document formatting.
- Availability for occasional events outside of regular office hours, including evenings.
- Proficiency in Microsoft Office Suite, Canva, Mailchimp, and WordPress.
Fluent in French with a good command of English.
