Job summary

Vancouver Whitecaps FC is seeking a detailed, hands-on Coordinator, Apparel & Equipment for Youth Programs to support apparel, equipment, inventory, warehouse, and logistics operations.

Reporting to the Senior Director, Soccer Development, you will ensure players, coaches, staff, and events have the apparel and equipment needed, thriving in a fast-paced, hands-on environment with a strong customer-service mindset.

Qualifications

  • Experience in inventory management, warehouse operations, equipment management, logistics, or related field.
  • Strong organizational skills with attention to detail and accurate records.
  • Hands-on experience with inventory systems, shipping/receiving, purchasing, and MS Office.
  • Proactive, solutions-oriented with strong communication; able to work with staff, coaches, vendors, partners.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Able to perform physical warehouse duties and flexible hours including evenings/weekends/holidays.

Responsibilities

  • Coordinate inbound and outbound shipping and receiving for Youth Programs apparel and equipment.
  • Manage day-to-day operations of the Youth Programs warehouse ensuring a clean, safe, organized environment.
  • Maintain warehouse organization systems to optimize storage and efficiency.
  • Receive, inspect, verify, and process incoming shipments per purchase orders.
  • Prepare, package, and coordinate outbound shipments to Academy Centres, camps, partners, and events across Canada.
  • Coordinate courier services, shipping documentation, and freight logistics; seek cost-effective solutions.
  • Develop and maintain warehouse procedures and propose efficiency improvements.

Vancouver Whitecaps FC is seeking a highly organized, hands-on, and detail-oriented Coordinator, Apparel & Equipment - Youth Programs to support the day-to-day apparel, equipment, inventory, warehouse, and logistics operations for our Youth Programs.

Reporting to the Senior Director, Soccer Development, this role will play an integral part in ensuring players, coaches, staff, Academy Centres, camps, tournaments, and events have the apparel and equipment they need to operate effectively. The successful candidate will thrive in a fast-paced environment, enjoy working hands-on with inventory and logistics, and bring a strong customer-service mindset to supporting our Youth Programs.

Warehouse Operations & Logistics
  • Coordinate all inbound and outbound shipping and receiving for Youth Programs apparel and equipment.
  • Manage the day-to-day operations of the Youth Programs warehouse, ensuring a clean, safe, organized, and efficient environment.
  • Maintain warehouse organization systems to optimize storage capacity, accessibility, and operational efficiency.
  • Receive, inspect, verify, and process incoming shipments, ensuring quantities and product quality align with purchase orders.
  • Prepare, package, and coordinate outbound shipments to Academy Centres, camps, partners, and events across Canada.
  • Coordinate courier services, shipping documentation, and freight logistics while identifying cost-effective shipping solutions.
  • Develop and maintain warehouse procedures and recommend improvements to enhance efficiency and service levels.
Inventory Management & Control
  • Maintain accurate inventory records for player and staff apparel, equipment, and operational supplies using the Club’s inventory management system.
  • Record all inventory transactions, including receiving, transfers, distributions, returns, and adjustments.
  • Conduct regular cycle counts and quarterly physical inventory audits.
  • Monitor inventory levels and proactively identify replenishment requirements.
  • Prepare inventory reports and provide updates to leadership on stock levels, usage trends, and inventory variances.
  • Ensure inventory control processes are consistently followed to minimize product loss and maintain accountability.
Player & Staff Apparel Operations
  • Coordinate fulfillment of player and staff apparel orders for Academy Centres, camps, development programs, and special events.
  • Prepare, package, and ship apparel orders according to established timelines and service standards.
  • Maintain accurate sizing records and apparel allocations.
  • Maintain staff apparel inventory and distribution records.
  • Support seasonal apparel distribution initiatives and large-scale equipment rollouts.
  • Support onboarding and seasonal apparel issuance for new and returning staff.
Equipment Operations
  • Coordinate equipment requests for Youth Programs, including Academy Centres, camps, tournaments, and special events.
  • Maintain inventory levels for soccer equipment and operational supplies.
  • Obtain supplier quotations and support purchasing processes for equipment replacement and replenishment.
  • Monitor equipment lifecycle and recommend replacement schedules.
  • Coordinate the preparation, distribution, collection, cleaning, and storage of equipment throughout the year.
  • Manage the laundering, maintenance, and storage of training bibs, pinnies, and other reusable equipment.
Match Kit Management
  • Maintain inventory and tracking of match jerseys and specialty apparel.
  • Coordinate the distribution, collection, reconciliation, laundering, and storage of match kits following programming and events.
  • Ensure match apparel inventories remain complete, organized, and game-ready.
Operations Support
  • Provide operational and logistical support for Academy Centre programming, camps, tournaments, coach education events, and special projects.
  • Coordinate equipment and apparel logistics for program launches and seasonal operations.
  • Assist with event setup, teardown, transportation, and other operational requirements as assigned.
  • Support the successful delivery of Youth Programs through reliable and responsive equipment and apparel services.
General Administration
  • Maintain accurate inventory, shipping, distribution, and operational records.
  • Order warehouse, shipping, and packaging supplies as required.
  • Coordinate courier bookings, shipping labels, and freight documentation.
  • Liaise with suppliers, vendors, and internal departments regarding orders, deliveries, and inventory requirements.
  • Assist with budgeting, purchase order requests, invoice reconciliation, and operational reporting.
  • Support continuous improvement initiatives related to warehouse operations, inventory management, and equipment services.
  • Perform other duties as assigned in support of Youth Programs.
Qualifications & Experience
  • Experience in inventory management, warehouse operations, equipment management, logistics, or a related field, ideally within a sport or fast-paced operational environment.
  • Strong organizational skills and attention to detail, with the ability to maintain accurate inventory, records, and shipping documentation.
  • Hands-on experience with inventory systems, shipping and receiving, purchasing, and Microsoft Office.
  • A proactive, solutions-oriented approach with strong communication skills and the ability to work effectively with staff, coaches, vendors, and external partners.
  • Ability to manage multiple priorities, meet deadlines, and work independently in a fast-paced environment.
  • Ability to perform physical warehouse and equipment duties, including lifting and moving equipment, and work flexible hours including evenings, weekends, and holidays as required.
