Job summary

Tides FC is seeking an Academy Operations Coordinator to support day-to-day operations of the new youth academy for a professional women’s soccer team. You’ll handle administrative tasks, scheduling, compliance, and collaboration with internal departments to keep the academy running smoothly.

Ideal candidates are detail-oriented, highly organized, proactive, and passionate about women’s sports and youth development.

Qualifications

  • Bachelor’s degree or equivalent in Sports Management, Business Administration, or related field.
  • 1–2 years administrative/ops experience in a professional sports environment.
  • Strong organizational and multitasking skills with attention to detail.
  • Proficient in Microsoft Office Suite and Google Suite.
  • Excellent written and verbal communication; ability to handle confidential information.

Responsibilities

  • Assist the Academy Director, technical team, coaching staff, and performance team with administrative tasks.
  • Manage scheduling for meetings, trainings, and departmental activities.
  • Maintain and organize department files, rosters, and player records.
  • Coordinate onboarding logistics with HR.
  • Support team travel logistics, flights, lodging, meals, and per diems.
  • Assist with match day operations logistics and facility coordination.
  • Maintain communication with players, parents and staff on scheduling changes.
  • Assist with equipment sourcing, inventory, and distribution.
  • Support scheduling for academy trainings, ID camps, and tryouts.
  • Organize academy player registrations, waivers, and eligibility docs.
  • Coordinate between academy coaches, families, and front office.
  • Assist with community outreach and partnerships related to youth development.

Job Description

The Academy Operations Coordinator plays a vital role in supporting the day-to-day functions of the new youth academy of a professional women's soccer team. This position ensures the smooth and efficient administrative operation of the academy, including team logistics, scheduling, communication, compliance, and coordination with internal departments.

The ideal candidate is detail-oriented, highly organized, proactive, and passionate about women’s sports and youth development. Additionally, this role will contribute to the development and execution of the club’s growing academy program, helping to establish a pipeline for future talent and community engagement.

Key Responsibilities
Administrative Support
  • Assist the Academy Director, technical team, coaching staff, and performance team with administrative tasks.
  • Manage scheduling for team meetings, training sessions, and departmental activities.
  • Maintain and organize department files, rosters, player records and other documentation.
  • Coordinate staff, parent and player onboarding logistics in collaboration with HR
Team Operations
  • Support team travel logistics, including flights, lodging, meals, itineraries, and per diems.
  • Support training facility and match day operations logistics.
  • Maintain communication with players, parents and staff regarding scheduling, changes, and updates.
  • Assist with equipment sourcing, ordering, inventory tracking, and distribution.
  • Assist with tasks as needed during training sessions and camps.
  • Assisting with scheduling and logistics for academy training sessions, ID camps, and tryouts.
  • Helping organize academy player registration, waivers, and eligibility documentation.
  • Supporting coordination between academy coaches, families, and front office.
  • Assisting with community outreach efforts and partnerships related to youth development.
Compliance Coordination
  • Act as the point of contact for administrative matters, ensuring timely submission of required documents.
  • Support / implement transfer documentation and compliance processes.
  • Help track and report on league-mandated deadlines, rules, and policy updates.
Match Day Support
  • Assist in home and away match preparations, including credentials, transportation, locker room setup, and post-game logistics.
  • Be available on match days for operational support as needed.
  • Coordinate with departments including Marketing, Communications, HR, and Community Relations to ensure alignment and support of team initiatives.
  • Meeting Support: Prepare agendas, take minutes, and follow up on action items for meetings, ensuring efficient use of time and resources.
  • Ad Hoc Tasks: Handle miscellaneous tasks and projects as assigned, demonstrating flexibility and adaptability in a dynamic work environment.
Qualifications
Required
  • Bachelor’s degree or equivalent experience in Sports Management, Business Administration, or a related field.
  • 1–2 years of administrative or operations experience, preferably in a professional sports or team environment.
  • Strong organizational and multitasking skills with excellent attention to detail.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook) and Google Suite
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion.
Preferred
  • Experience in soccer operations, youth sports administration, or working with athletes/coaching staff.
  • Familiarity with league registration platforms and compliance processes (e.g., FIFA Connect, league portals).
  • Bilingual in English and French is a plus.
Working Conditions
  • Must be able to work flexible hours, including evenings, weekends, and holidays, based on team and match schedules.
  • Some travel required (domestic and/or international).
  • Ability to lift up to 25 lbs occasionally.
