Job summary

Matix Lumber Inc. is seeking a full-time Project Coordinator with on-site construction experience to support the Project Manager in planning, executing, and delivering projects on time and within budget.

You will collaborate with trades, subcontractors, suppliers, and consultants, maintaining project documents and assisting with cost reports while ensuring client satisfaction throughout the process.

Qualifications

• 3–5 years of experience in project coordination, preferably within construction.
• On-site experience coordinating and working directly with trades and subcontractors (required).
• Ability to read and interpret building specifications, blueprints, and as-built.
• Strong mathematical and analytical skills for job cost reports and estimating support.
• Proficiency in Microsoft Office (Excel, Word, etc.).
• Effective communication skills (oral, written, and listening).
• Strong client service and public interaction skills.
• Ability to work both independently and collaboratively within a team environment.
• Customer-focused mindset with strong problem-solving skills.
• Ability to be receptive to change and to quickly adapt.
• Exceptional attention to detail with the ability to stay focused in an open office environment.

Responsibilities

• Assist with the preparation and execution of the overall work plan and schedule.
• Organize and maintain project site files and documents.
• Manage electronic document databases and file-sharing platforms.
• Maintain accurate documents for the project.
• Review subcontractor/supplier progress applications and payment certificates.
• Liaise with architects, engineers, subcontractors, and suppliers on contract and change notices, design revisions, RFIs, RFQs, etc.
• Prepare and participate in meetings with the project manager and team members.
• Prepare and distribute accurate meeting minutes in a timely manner.
• Assist with preparing final turnover documentation for the client.
• Coordinate deficiencies in a timely manner.
• Maintain project awareness to keep the team informed of status and potential issues.
• Provide technical and administrative support as required by the project team.
