Based in Moncton, NB, the role is a 14 month contract with a Monday to Friday schedule, 8:00am–5:00pm. Salary ranges from $37,000 to $41,000 annually, reflecting a professional environment focused

Qualifications

  • Post-secondary education in business administration, transportation, logistics, or related field, or equivalent experience.
  • 1–3 years admin experience with detailed records or regulated documentation preferred.
  • Experience in transportation, fleet administration, safety, or similarly regulated env. is a plus.
  • Knowledge of driver qualification requirements, hours-of-service, or e-logs is an asset.
  • Strong accuracy, organization, and ability to manage competing priorities with minimal supervision.

Responsibilities

  • Create, update, audit, and maintain driver qualification and compliance files.
  • Enter and validate driver, vehicle, and fleet compliance data on time.
  • Prepare and retain docs for policies and regulatory requirements.
  • Monitor expiry dates and follow up on outstanding items.
  • Support hours-of-service and ELD administration by reviewing records.

Position Overview:

Reporting to the Compliance Manager, the Compliance Administrator supports the safe, compliant, and efficient operation of the company’s commercial driving fleet. The role maintains accurate driver qualification and regulatory records, monitors time-sensitive requirements, supports hours-of-service administration, and works with drivers and internal teams to address compliance gaps and improve processes.

Key Responsibilities
  • Create, update, audit, and maintain complete physical and electronic driver qualification and compliance files.
  • Enter and validate driver, vehicle, and fleet compliance data accurately and within required timelines.
  • Prepare, track, and retain documentation required by company policies and applicable federal, provincial, and cross-border transportation requirements.
  • Monitor driver’s licence, medical, training, permit, and other document expiry dates; follow up on outstanding items and expedite risks promptly.
  • Support hours-of-service and electronic logging device administration by reviewing records, identifying exceptions, maintaining supporting documents, and coordinating follow-up.
  • Support driver onboarding and offboarding by verifying required documentation and updating applicable systems and records.
  • Administer and reconcile fuel cards, toll accounts, and related driving-fleet records.
  • Respond to driver inquiries clearly and professionally by email and phone while protecting confidential information.
  • Scan, file, retrieve, and distribute compliance documents in accordance with records-retention requirements.
  • Prepare recurring reports and support internal audits, regulatory reviews, and requests for compliance records.
  • Partner with Operations, Safety, Human Resources, Payroll, and other teams to address compliance gaps and identify process improvements.
  • Maintain confidentiality and follow established privacy, records-retention, and information-security practices.
  • Complete other duties assigned by the Compliance Manager.
Qualifications And Experience
  • Post-secondary education in business administration, transportation, logistics, or a related field, or an equivalent combination of education and experience.
  • One to three years of administrative experience involving detailed records, high-volume data entry, or regulated documentation is preferred.
  • Experience in transportation, fleet administration, driver compliance, safety, or a similarly regulated environment is considered an asset.
  • Knowledge of commercial driver qualification requirements, hours-of-service records, or electronic logging systems is considered an asset.
  • Strong accuracy, organization, analytical thinking, and attention to detail.
  • Ability to manage competing priorities, meet deadlines, and follow through with limited supervision.
  • Sound judgment and discretion when handling confidential and sensitive information.
  • Clear, professional written and verbal communication skills, with the confidence to follow up on incomplete or overdue requirements.
Technical Skills
  • Proficiency with Microsoft Outlook, Excel, and Word, including accurate data entry, filtering, and basic reporting.
  • Comfort learning and working in transportation-management, electronic logging, document-management, and reporting systems.
  • Experience with TruckMate is considered an asset.
Working Conditions
  • Fast-paced, deadline-driven office or terminal environment supporting a commercial driving fleet.
  • Frequent communication with drivers and internal partners by email, phone, and fleet communication systems.
  • Extended periods working at a computer and reviewing detailed records.
  • Work requires consistent attention to accuracy, confidentiality, and time-sensitive compliance requirements.
