Community Support Coordinator

COMPENSATION $68,009.59 - $70,049.88 (NEE: 18) to $73,990.16 - $76,209.86 (NEE: 21)

Malahat Nation represents approximately 350+ members with two reserve lands located on the western shore of Saanich Inlet, south of the village of Mill Bay, about 40-kilometres north of Victoria, British Columbia.
Malahat Nation is looking for the right candidate to join our Community Programs Department. Malahat Nation places great importance on increasing the participation and success rates of Malahat Nation members in education, training, and development. PURPOSE Reporting to the Director of Community Programs, the Community Support Coordinator provides support to the Director of Community Programs in the development, coordination and implementation of a range of support programs for Malahat Nation. Key responsibilities include administering the Income Assistance and Assisted Living Programs, overseeing registration (IRA), and assisting members in accessing relevant government and community resources. This position is fulltime permanent, based in the office with potential for a hybrid working arrangement. Minimal local travel may be required.
RESPONSIBILITIES: Program Administration
- Administer the Income Assistance (IA) Program in accordance with Indigenous Services Canada (ISC) policies and procedures
- Support eligible community members in accessing programs and benefits related to Persons with Disabilities (PWD)
- Coordinate and administer applicable support through the Assisted Living (AL) Program in accordance with ISC policies and procedures
- Administer the Indian Registration Administration (IRA) program, overseeing duties including Status Card Applications, renewals, membership applications, and transfer requests
- Assist members in understanding program requirements, completing required applications and documentation
- Identify additional services or resources that may benefit individuals and families, and provide appropriate referrals
- Coordinate and provide 1-on-1 community member support as needed with other government agencies; e.g. Birth Certificates, EI applications, CRA inquiries, CPP applications, and others
- Plan, coordinate and attend community support workshops, programs and events
Human Resources & Supervision
- Supervision of staff as assigned, including reviewing and approving leave requests and timesheets, completing semi-annual and annual performance evaluations, work plan development, and leading corrective action in accordance with HR policy
- Provide training, coaching, and ongoing skill development to supervised staff
Records Management, Administration & Reporting
- Maintain and update member registry information in an accurate and timely manner
- Maintain accurate and confidential client files, records, assessments, and supporting documentation
- Ensure registry information is protected and managed in accordance with privacy, confidentiality, and policy requirements
- Identify grants and funding opportunities for relevant workshops and programs, prepare funding applications as needed under the supervision of the Director of Community Programs.
- Maintain awareness of changes to ISC IA, PWD, Assisted Living, and other relevant program policies, procedures, eligibility requirements, and reporting expectations
- Complete required monthly, quarterly and annual reporting for review of the Director of Community Programs and Community Financial Officer (CFO)
- Comply with the Malahat Nation Financial Administration Law and Malahat Nation policies
- Provide administrative support including but not limited to expense claim submissions
- Other duties as required
FOUNDATIONAL KNOWLEDGE REQUIRED: Indigenous Perspective
- Recognizes and respects Indigenous cultures and practices, with an openness to learning and engaging with Indigenous communities
Western Ways
- Bachelor's Degree in Business Administration, Indigenous Studies, Social/Human Services or related field preferred; and / or an equivalent combination of education and experience
- Two (2) or more years experience working in an office setting
- One (1) year supervisory experience, preferably in an Indigenous community
- Criminal Record Check (CRC) required
- Valid BC Driver's License and reliable vehicle required
Other Education & Experience
- Five (5) or more years' experience working in an office setting, preferably in an Indigenous community and/or administering Income Assistance programs
- Certified courses, training, or workshops completed in Social and/or Human Services and/or related field
SKILLS, KNOWLEDGE, & ABILITIES
- Knowledge of or ability to learn ISC Income Assistance policies, procedures, eligibility requirements, and reporting processes
- Knowledge of or ability to learn Indian Registry Administration requirements and Status Card processes
- Knowledge of Microsoft Office Suites programs, databases and / or related software
- Demonstrated ability to work independently and with a team
- Strong, analytical, and problem-solving skills
- Strong administrative, organizational, documentation, and record-management skills
- Strong interpersonal and relationship-building skills
- Time management with the ability to multitask
- Excellent written, oral, and interpersonal communication skills
