Job summary

Insight Canada is seeking a Communications & Deployment Coordinator to support a SharePoint Online and Microsoft Teams migration. You will coordinate communications, training logistics, audience readiness, and delivery schedules across migration waves, partnering with Change Management, training, and technical teams.

You’ll maintain calendars, manage dependencies, approvals, and distribution, while tracking attendance and readiness.

Communications & Deployment Coordinator

Location: This is a hybrid position based in Calgary, Alberta. The role requires regular in-person work at the client’s downtown Calgary office. Travel time to other client sites may vary depending on the engagement and location.

About the role

We’re seeking a Communications & Deployment Coordinator to join Insight Canada’s Adoption & Change Management team and collaborate closely with our Modern Workplace specialists. You will help coordinate the communications, training logistics, audience readiness activities, and delivery schedules required for a large-scale SharePoint Online and Microsoft Teams migration. Working as part of a multidisciplinary project team, you will maintain integrated calendars, coordinate dependencies and approvals, support audience segmentation, manage communication distribution and training invitations, track attendance and delivery status, and help ensure the right stakeholders receive the right information at the right time. You will partner closely with Organizational Change Management, training, eLearning, project management, business analysis, and technical resources to support consistent execution across multiple migration waves.

As a Consultant I on a SharePoint Migration project you will:
  • Maintain the integrated communications, training, and deployment calendar across migration waves, departments, stakeholder groups, and project milestones
  • Coordinate communication and training dependencies, review cycles, approvals, distribution dates, audience lists, and delivery readiness with project stakeholders
  • Support the development and deployment of enterprise, department-specific, leadership, site owner, content owner, Help Desk, pilot, train-the-trainer, and end-user communications
  • Manage communication distribution activities using approved client channels and templates, ensuring content is released to the correct audiences at the agreed time
  • Coordinate training invitations, session schedules, registration details, reminders, attendance tracking, cancellations, rescheduling, and related learner communications
  • Track communication and training delivery status across migration waves, identify conflicts or missed dependencies, and elevate risks that may affect readiness or execution
  • Partner with the Organizational Change Management Consultant to align communication and deployment activities with stakeholder impacts, readiness findings, adoption objectives, and reinforcement needs
  • Partner with the SharePoint & Microsoft Teams Trainer and eLearning Content Creator & Instructional Designer to coordinate training logistics, material readiness, audience requirements, and delivery schedules
  • Maintain accurate trackers, action logs, calendars, audience lists, approval records, and status updates while collaborating with project management, business analysis, and technical delivery resources

What we’re looking for
Core requirements:
  • You have experience coordinating communications, deployment activities, training logistics, project schedules, or change initiatives in a client-facing or enterprise environment
  • You are highly organized and can manage detailed calendars, dependencies, audience lists, approvals, invitations, attendance records, and delivery trackers across multiple workstreams
  • You’re comfortable coordinating with leaders, business stakeholders, trainers, project managers, technical teams, and communications or change practitioners
  • You can independently manage priorities, deadlines, follow-ups, and status updates while identifying and escalating risks or scheduling conflicts
  • You have experience preparing, formatting, quality‑checking, and distributing polished audience-focused communications using established templates and approval processes
  • You can interpret project plans and translate milestones, dependencies, and audience requirements into clear communication and training coordination activities
  • You have strong organization, attention to detail, prioritization, writing, and verbal communication skills
  • You’re willing and able to work regularly at the client’s downtown Calgary office and travel based on the needs of the engagement
Standout candidates for the SharePoint Migration project will also bring:
  • You have coordinated communications, training, or deployment activities for a SharePoint Online, Microsoft Teams, Microsoft 365, or other enterprise technology migration
  • You have experience supporting multi-department or wave-based deployments where communications, training, approvals, and audience readiness must be carefully sequenced
  • You have managed training calendars, invitations, registration, reminders, attendance, makeup sessions, and delivery reporting for virtual and in-person learning programs
  • You understand audience segmentation and can coordinate tailored communications for executives, leaders, site owners, content owners, support teams, trainers, pilot groups, and end users
  • You are proficient with Microsoft 365 productivity tools and have experience maintaining detailed project trackers, shared calendars, distribution lists, status reports, and approval records
