Job summary

Interior Health Authority in Kelowna is seeking a Relief Part Time Clinical Student Placement Assistant at Kelowna Community Health and Services Centre. You will support clinical student placement processes, coordinate with HSPnet and LMS systems, and provide clerical support within a customer-focused team.

Work hours range from 0 to 37.5 per week, Tuesday to Friday, 08:00 to 16:00, with shifts on short notice to cover leaves.

Job description

We are seeking a Relief Part Time Clinical Student Placement Assistant at Kelowna Community Health and Services Centre in Kelowna, BC.

Days of work: Tuesday to Friday, Days

Shift times: 08:00 to 16:00

This is a relief position until the return of incumbent.

What will you work on?

This position supports and facilitates clinical student placement processes throughout Interior Health (IH). Working within a customer-focused, team-oriented framework the Clinical Student Placement Assistant will be responsible for continual improvement of student utilization and developing efficient, student-friendly, responsive student destinations. The Clinical Student Placement Assistant also provides technical support for the Health Science Placement Network (HSPnet) system, other computerized programs by arranging for system account set up, and access, assisting users with appropriate system use, responding to system issues, and creating reports as requested.

  • Supports management and students in the development and maintenance of optimal student placement destinations to meet service needs, giving consideration for coverage requirements, available resources and schedule constraints. Creates and maintains new destinations for students that support operational recruitment strategies, engaging with unit managers as required in order to achieve objectives.
  • Establishes priorities and organizes operational procedures to ensure streamlining for the clinical student placement processes by receiving, conveying, and exchanging information/documentation on student placements and clinical education initiatives/programs from post-secondary institutions.
  • Evaluates the training needs of IH team leads/educators/mgmt./destination coordinators and other staff, develops and delivers individual training sessions that explain the student placement process and stakeholder responsibilities, and demonstrates the use of HSPnet and other placement processes, such as preceptor assignment, document uploads, and completion of destination and preceptor profiles in system.
  • Collaborates with academic partners regarding competing requests for limited clinical placements and coordinates placement meetings with academic partners (private and public) where they represent IH to discuss placement needs, philosophies and dispute resolution processes. Suggests alternative placements to applicable coordinators and academic institutions.
  • Supports internal IH users of the HSPnet system by performing duties such as activating/inactivating user accounts based on pre-determined criteria, responding to user inquiries, identifying and resolving routine system issues according to established guidelines. Collaborates with the provincial HSPnet resources as required including representing IH at meetings with this external body.
  • Utilizes computerized applications such as HSPnet, Learning Hub, Meditech, external webpage, MS Teams, and Microsoft Office (Excel, Access, Word, Powerpoint, Visio, SharePoint), web-based applications, and other database systems to receive and process documentation relating to clinical student placement requests, clinical education initiatives and other PPO projects. Verifies information to ensure completeness and accuracy of information submitted, correcting errors and/or omissions as required.
  • Demonstrates the use of HSPnet to external partners (e.g. university student placement coordinators) ensuring alignment with IH student placement policies/guidelines and provides IH specific content to facilitate placement choice.
  • As directed by the Manager (or designate), maintains reviews and renews educational affiliation agreements by gathering/exchanging information and completing/submitting required documentation.
  • In accordance with established procedures, enters and edits information into the HSPnet system including establishing new programs and courses, updating course information, and ensuring team lists and contact info are accurate.
  • Prepares statistical information as requested by gathering and compiling data, developing and formatting statistical charts and graphs using appropriate software. Sets up and maintains paper and/or electronic filing systems for material such as correspondence, clinical student placement documentation and department files.
  • Using pre-approved content, prepares e-Learning modules/presentation using various computer applications. Maintains and updates e-Learning modules and course registration procedures within the IH Learning Management System (LMS) as required. Performs data draws from LMS system and cross references them with other data as requested by Manager (or designate).
  • Participates in continuous quality improvement by identifying issues with current processes and assisting the Manager (or designate) to resolve/improve. Recommends changes to provincial HSPnet system, IH LMS system and assists with implementing approved changes.
  • Attends and represents IH at a variety of meetings and joint committees with academic partners and other BC Health Authorities relating to HSPnet and clinical student placement program. Participates in special projects and assignments as required.
  • Performs other related duties as assigned.
