We’re looking for a Client Account Specialist to provide billing support to a portfolio of lawyers.
The ideal candidate will have 1+ years of experience (or a combination of education and experience, ideally in a law firm environment), will exercise good judgement in a variety of situations, and the ability to balance multiple priorities. This position will work closely with the Team Lead, Client Accounts.
Key Responsibilities:
- Manage the full Accounts/Billing cycle for a portfolio of billing lawyers utilizing Firm guidelines and best practices.
- File intake/open procedures and client billing guidelines.
- Ensure accurate billing information (payor, key billing cycle deadlines, monthly targeted fee estimates, time entry, billing cut-off dates), including follow-up with relevant timekeepers when necessary.
- Prepare WIP reports, prebills and verify the accuracy of billing information with billing lawyer (alternative fee arrangements, discounts, tax rates, billing group information, etc. and accruals).
- Revise prebills as instructed by the billing lawyer (transferring time and disbursements, editing narrative, splitting time, etc.).
- Resolve problems and issues identified (time and/or disbursement transfers, fee discrepancies, write-offs, unreleased time, etc.).
- Ensure e-billing requirements are met (external billing guidelines, task & activity codes, client e-billing reference numbers, etc.).
- Prepare bills and confirm accuracy with billing lawyer and Finance prior to submitting to client, while meeting the month-end deadline for account submission.
- Prepare bills as per the lawyer’s request throughout the month as transactions close.
- Communicate with external clients to ensure the accuracy of bills and complete client requests (re-issuing invoices in accordance with Firm policies, providing accrual and accounts receivable updates, etc.).
- Proactively manage all aspects of the A/R function in conjunction with billing lawyer.
- Continuously look for best practices and/or opportunities to improve the billing process.
- May assist with training/mentoring and special projects.
Knowledge and Experience:
- 1+ years of experience working as a Legal Administrative Assistant or strong experience with Financial Management (or a combination of education and experience).
- Advanced knowledge of Microsoft Office.
- Familiarity/experience with Aderant Expert would be an asset.
- Able to learn and utilize various software programs utilized by the Firm.
- Comfortable in an environment of continuous learning with ongoing formal and self-learning opportunities.
- Analytical and solution-oriented, resourceful with sound judgement to make informed decisions.
- Excellent verbal and written communication skills, with the ability to use discretion when dealing with confidential information.
- Solid organization and time management skills.
