Job summary

Our Place Peel, a community-based non-profit in Mississauga, seeks a CFO to lead the finance and operations function. You will prepare financial statements, manage grants, budgets, audits, and reporting to funders while collaborating with the CEO and leadership team.

You’ll oversee cash flow, policy updates, and strategic financial planning, ensuring compliance and efficient processes across programs and fundraising activities.

Qualifications

  • Minimum five (5) years of experience in a not-for-profit finance leadership role.
  • Knowledge of government and funder agency structures, procedures and reporting.
  • Experience developing fundraising strategies, grant applications and project proposals that provide core program/organization support is an asset.
  • Strong interpersonal, communication and organizational skills.
  • Highly organized, analytical and detail-oriented.
  • Excellent time-management skills with the ability to simultaneously manage multiple projects and meet deadlines in a fast-paced, community environment.

Responsibilities

  • Analyze and present financial reports; communicate monthly and annual statements; collate reporting for funders and donors; oversee all financial, project/program and grants accounting.
  • Coordinate and lead the annual audit process; liaise with external auditors and finance committee.
  • Oversee budgeting and planning; administer and review financial plans and budgets; monitor progress and changes.
  • Participate as a member of the bargaining table during collective bargaining.
  • Manage cash flow and forecasting.
  • Implement contracts management and financial reporting systems; ensure contract billing compliance.
  • Update and implement business policies and accounting practices; improve finance policies.
  • Communicate financial matters to the board of directors with CEO & Treasurer.
  • Support annual reporting; Pay Equity Reconciliation and tax requirements.
  • Monitor fundraising and accounting systems; record pledges, receipts and donor acknowledgments.
  • Prepare monthly/quarterly assessments and forecasts vs. budgets.
  • Review monthly budget-to-actuals for programs; assist managers with budgets.
  • Reconcile monthly activity; petty cash, fundraising and accounting systems.
  • Maintain working papers on deferred revenue, accruals, prepaids, and capital assets.
  • Handle banking and payments; prepare cheques.
  • Support program budgets for funder applications and reporting.
  • Coordinate Finance Committee materials; agendas, minutes, reporting packages.
  • Drive operational excellence and policy improvements; monitor regulatory adherence.
  • Attend meetings and events; supervise staff as required.
  • Liaise with CEO on strategic plans and operational activity.

Position Profile

The Chief Financial Officer (CFO) reports to the Chief Executive Officer (CEO) and serves as a member of the Leadership Team. The CFO will be responsible for the day-to-day operations, data entry, grant report entry, managing the organization’s fundraising functions, and helping to create organizational and program budgets in collaboration with the CEO and Managers. This position also contributes to the development and implementation of organizational strategies, policies and practices.

Role Overview

The CFO will ensure organizational effectiveness by providing leadership for the agency’s financial and operational functions, with an emphasis on:

  • Analyze and present financial reports in an accurate and timely manner; clearly communicate monthly and annual financial statements; collate financial reporting materials for all funder and donor segments, and oversee all financial, project/program and grants accounting.
  • Coordinate and lead the annual audit process, liaise with external auditors and the finance committee of the board of directors.
  • Oversee and lead the annual budgeting and planning process in conjunction with the CEO; administer and review all financial plans and budgets; monitor progress and changes; and keep the leadership team informed of the organization’s financial status.
  • Participate as a member of the bargaining table during the collective bargaining process.
  • Manage organizational cash flow and forecasting.
  • Implement a contracts management and financial management/ reporting system; ensure that the contract billing is adhered to.
  • Update and implement all necessary business policies and accounting practices; improve the finance department’s overall policy and procedure manual.
  • In collaboration with the CEO & Treasurer, communicate and present the financial matters to the board of directors.
  • Support with annual reporting; Pay Equity Reconciliation and fulfilling tax requirements.
  • Monitor all fundraising and accounting systems and procedures, capturing pledges, receipts and thank you letters. Recording and allocating all revenue transactions.
  • Prepare monthly and quarterly assessments and forecasts of the organization’s financial performance against budget, financial and operational goals.
  • Conduct monthly reviews of funder allocations.
  • Review monthly budget to actual for specific programs and assist managers in managing their budgets.
  • Ensure the reconciliation of monthly activity; petty cash, fundraising and accounting systems.
  • Maintain working papers on deferred revenue, accruals, prepaids, and capital asset continuity.
  • Banking and accounting requirements, deposits, payments of expenses and producing cheques.
  • Prepare and support team with program budgets for funder applications.
  • Prepare and report financial deliverables as required.
  • Coordinate the materials for the Finance Committee; scheduling, preparing agenda, minutes and reporting package.
  • Drive initiatives in the management team and organizationally that contribute to long-term operational excellence.
  • Improve processes and policies in support of organizational goals.
  • Monitor adherence to rules, regulations and procedures.
  • Attend and participate in meetings and events as required.
  • Supervision of staff as required.
  • Liaison with CEO to assist in the development of strategic plans for operational activity. Implement and manage operational plans.
  • Contribute to short and long-term organizational planning and strategy as a member of the management team.
  • Support the organization's fundraising targets through funding applications, special events, etc.
  • Support with Agency material; Annual Report, Impact Statement and Monthly newsletters.
  • Other duties as assigned.
Qualifications
  • Minimum five (5) years of experience working in a not-for-profit in a finance leadership role.
  • Bachelor’s Degree in Business, Finance or Accounting or required field.
  • Chartered Professional Accountant (CPA) designation is required.
  • Knowledge of government and funder agency structures, procedures and reporting.
  • Experience developing fundraising strategies, grant applications and project proposals that provide core program/organization support is an asset.
  • Strong interpersonal, communication and organizational skills.
  • Highly organized, analytical and detail-oriented.
