Job description

Temporary Appointment until October 29, 2027
Regina Head Office
Job Summary:

The Business Systems Specialist (BSS) is a business-embedded role that enables efficient, consistent, and high-quality service delivery across the Prevention and Employer Services portfolio.

Working at the intersection of policy, operations and enabling technology, the BSS ensures that business processes, rules and service models are effectively supported by enterprise systems. The role acts as a bridge between the business and information technology, translating operational needs into practical system configuration and process improvements, while ensuring alignment with organizational standards, privacy and regulatory requirements.

Rather than designing or building technology solutions, the BSS focuses on optimizing how systems are used – supporting digital intake, guided workflows, knowledge tools, reporting and performance measures that directly impact customer outcomes.

Duties & Responsibilities:
  • Support the evolution of business rules, workflows and service models by ensuring systems are configured to reflect approved operational practices.
  • Analyze business processes to identify opportunities to improve efficiency, service quality and consistency using existing system capabilities.
  • Ensure operational changes are implemented in a way that minimizes disruption to frontline staff and service delivery.
  • Support system releases, upgrades and enhancements through the documentation of business requirements, defect test execution, process standard work development and implementation support.
  • Support reporting and measurement of business processes - perform simple queries to extract data for analysis, ensuring support for business decisions with accurate data.
  • Collaborate with IT to document iSupport tickets and maintain system changes, data standards, and procedures to ensure consistency and compliance across all platforms.
  • Serve as the first line of contact to assist business operations with knowledge transfer, workarounds and adjustments to process standard work; coordinating with IT when deeper technical expertise is required.
  • Execute test cases, provide feedback, validate usability, and confirm functionality.
  • Act as the primary testers of the system and provide feedback.
  • Report bugs, usability issues, or process misalignments identified during testing.
  • Act as a business subject matter expert when working with IT, clearly articulating business needs, priorities and impacts.
  • Collaborate with IT partners during system releases, upgrades and enhancements by supporting requirement clarification, business validation and user acceptance activities.
  • Escalate issues that require deeper technical expertise while remaining accountable for business outcomes.
  • Maintain clear documentation of business rules, procedures and standards to support transparency and audit readiness.
  • Develop and maintain standard work, job aids and reference materials to promote consistent system use across teams.

  • Strong communication skills with the ability to translate business needs and impacts for technical and non-technical audiences.
  • Experience developing job aids, training materials, and processing documentation to support consistent practices and system use.
