Scope and Mandate:

The Building Operations Supervisor is responsible for ensuring the safe, efficient, and compliant operation of the facility in alignment with all applicable regulatory standards.

Reporting to the Director, People & Culture, this role oversees the day-to-day management of building operations, including the continuity of essential services. The Supervisor provides direct oversight to the Facility Coordinator and manages the performance of third-party contractors and vendors.

The successful candidate will approach responsibilities with a proactive and detail-oriented mindset, ensuring timely execution and a consistently high standard of service. The role requires strong organizational skills, the ability to manage multiple priorities, and sound judgment under pressure.

Responsibilities and Tasks:

Compliance and Safety

  • Ensures all work is performed in compliance with applicable codes, regulations, organizational policies, standards, and guidelines.
  • Adheres to Sherbourne Health policies and procedures at all times, and upholds building standards, safety, and operational efficiencies.
  • Maintains up-to-date emergency contact lists and routinely reviews procedures related to life safety, emergency response, and the fire safety plan.
  • Ensure all health, safety, and security procedures are adhered to and areas of concern are reported in a timely manner to limit exposure to liability and loss.
  • Inspect and test fire protection equipment and systems at recommended intervals for proper operation in order to meet legislative requirements and ensure safety.
  • Conducts fire alarm tests and ensures compliance with Health and Safety, Risk Management, and environmental policies and procedures.
  • Assist with fire drills and other fire safety procedures.
  • Assists in training staff in fire panel operations and emergency procedures.
  • Conduct electrical work as permitted by the Canadian and Ontario Electrical Code (C22) subject to safety and training as specified.

Preventive Maintenance and Repairs

  • Conducts regular inspections and plans preventive maintenance for all mechanical, electrical, and HVAC systems and related equipment.
  • Performs and documents daily and weekly equipment checks, maintaining accurate records to ensure optimal function.
  • Takes and logs daily readings of major building systems (air/water temperatures, pressure levels), monitoring for irregularities.
  • Carries out minor maintenance and repairs (e.g., filters, belts, plumbing, lighting, general upkeep).
  • Ensures all signage and lighting systems are fully functional and well-maintained.
  • Conducts regular inspections of interior, exterior, and rooftop areas to identify and address damage or deficiencies.
  • Performs routine, preventive, and ad-hoc maintenance and schedules programming of all building/site equipment.
  • Plans, schedules, and estimates labor, materials, and downtime for maintenance and repairs.
  • Coordinates and schedules required maintenance/repair/replacement with appropriate subcontractors.
  • Carries out or supervises execution of all preventative maintenance tasks as prescribed.

Equipment and Systems Oversight

  • Monitor building security system, fire alarm panel, and sprinkler system for proper operation; report discrepancies.
  • Review systems reports; ensure alarms are cleared, causes addressed, and equipment operates efficiently and safely.
  • Supervises the efficient and safe operation of all building systems, including fire, life safety, HVAC, energy, and structural elements.
  • Maintains workshop and equipment inventory; requests replacements as needed.
  • Researches specifications, drawings, and O&M manuals to direct tradespeople for efficient task execution.
  • Updates and manages the computerized maintenance management system (CMMS).

Coordination and Communication

  • Collaborates closely with the Director, People & Culture; Executive Assistant; Operations Manager; and Facilities Coordinator to support seamless building operations.
  • Supervises contractors on-site and assists with construction projects.
  • Responds to occupants’ concerns in a timely and helpful manner.
  • Responds to after-hours calls and emergencies, providing status updates to the Facilities Manager.
  • Responds and assists with seasonal building needs (e.g., snow clearing, decorating).
  • Provide a “help desk” response for facility-related staff inquiries.
  • Develops functional relationships with clients, programs, and committees to ensure facility needs are met.
  • Liaises with staff, stakeholders, and administrators to plan, implement, and monitor quality improvement initiatives.
  • Other duties as assigned.

To thrive in this role, you’ll need

education/experience:

  • 3-5 years of experience in a similar role
  • Certificate: Building Environmental Systems (BES1) & (BES2), or 4th class stationary engineering certificate or a community college diploma in building environmental systems
  • Knowledge of all aspects of building operations including but not limited to HVAC, mechanical, electrical, plumbing, life safety, etc. and ensure all equipment and systems are operated in a safe and efficient manner and are in compliance with all applicable government codes and regulations.
  • Knowledge of Ontario Fire Code, Building Code, Canadian Electrical Code, Occupational
  • Health and Safety Act and other relevant legislation including “Confined space” entry procedures and relevant testing equipment.
  • Demonstrated ability to perform building repairs and knowledge of construction.
  • Must have basic electrical skills.
  • Ability to interpret electrical and mechanical drawings and to use instruments such as volts meters, multimeters, etc.
  • Previous experience in construction, HVAC & plumbing preferred.
  • Experienced with general trades equipment.
  • Previous supervisory experience required.
  • Experience working with BAS and CMMS
  • Candidate must have excellent communication skills and exhibit a “can do” attitude.
  • Proficient knowledge and skill in computer applications (Microsoft Word, Windows, Excel, Lotus, Power Point,). Technical, vocational, or on-the-job training in at least one of the following areas
  • Exemplary verbal and written communications skills
  • Ability to multi-task, prioritize, and manage time effectively.
  • Computer literacy and MS Office computer skills
  • Effective time management skills with an ability to appropriately prioritize tasks.
  • Knowledge of all facets of building operations and maintenance

skills and abilities:

  • Crisis intervention and de-escalation training.
  • Strong interpersonal skills and proven ability to build and maintain positive relationships with staff, peers and with diverse community stakeholders.
  • Ability to work in a fast-paced environment, multi-task and follow complex situations.
  • Ability to exercise good judgement when addressing incidents on site.
  • Proficient English language skills – both verbal and in writing. Knowledge of other languages, an asset.
  • Demonstrated understanding of local community issues, priorities and needs including challenges facing Sherbourne’s priority populations particularly those experiencing poverty, trauma, or discrimination.
  • Understanding of the Ontario community and health care sector, its stakeholders, community programs and funding proposal procedures
  • Experience working with, or commitment to anti-racism/anti-oppression principles.
  • Computer and technology skills including email, spread sheets, word processing.
  • Ability to deal with uncertainty, compliance with legal regulations.

working conditions:

  • Must be able to work any shift Sunday-Saturday to support the company’s business needs.
  • The standard work week is 37.5 hours. Generally, they will work Monday to Friday during the day, however, work is occasionally required outside the normal daily routine. The position requires diplomacy in dealing with internal and external clients, considerable multi-tasking, setting priorities as needed.
