Job summary

IWK Health in Halifax is seeking a Booking Officer to ensure complete and accurate booking procedures for elective and urgent surgical patients. You will collaborate with surgeon offices, anesthesia, preadmission clinics and leadership staff to optimize OR/endoscopy time and maintain confidential documentation.

The role requires medical terminology expertise, strong Excel/Word skills, and the ability to organize and prioritize tasks.

Qualifications

  • Grade XII required
  • Graduate of a business, office information technology, medical office assistant, secretarial course or equivalent
  • Minimum of one year of related experience in Central Booking; two years in Perioperative Services preferred
  • Medical terminology course or equivalent
  • Demonstrated experience in report preparation
  • Experience with OPOR-CIS, Novari ATC and PARNS preferred
  • Advanced knowledge of Excel and Word
  • Ability to organize and prioritize duties
  • French language skills considered an asset
  • Annual safety training required by IWK health system

Responsibilities

  • Ensure complete and accurate booking procedures for elective and urgent surgical patients
  • Coordinate with surgeon offices, anesthesia, preadmission clinics and leadership staff
  • Provide administrative support to the PARNS Access Manager and the OR Manager

The Opportunity

The Booking Officer is responsible to ensure complete and accurate booking procedures for elective and urgent surgical patients. In this clinical environment, duties include but are not limited to patient scheduling, maintaining confidential documentation, producing excel spreadsheets and reports as required. They will work in collaboration with surgeon’s offices, anesthesia, preadmission clinics and leadership staff to allow for optimal coordination of Operating Room/Endoscopy time. The Booking Officer also provides administrative assistant support for the PARNS Access Manager and the Operating Room Manager.

Hours of Work

Monday - Friday; 8-4 pm

Your Qualifications
  • Grade XII
  • Graduate of a business, office information technology, medical office assistant, secretarial course or equivalent combination of education and related experience required
  • A minimum of one (1) year of related experience in Central Booking processes is required(including scheduling procedures, physicians, and patients, as well as managing waitlists), with first consideration given to candidates with two (2) years of related experience in Perioperative Services.
  • Medical terminology course or equivalent required
  • Demonstrated experience in report preparation
  • Experience with OPOR-CIS, Novari ATC and PARNS preferred
  • Advanced working knowledge and proficiency with a variety of computer software applications, specifically Excel and Microsoft Word
  • Ability to organize and prioritize duties
  • Annually access the training and education on patient, client and personal safety made available by IWK
  • Competencies in other languages an asset, French preferred

In the absence of qualified candidates who meet the minimum requirements in Perioperative and/or Central Booking experience, consideration may be given to candidates with at least one (1) year of experience in the health/medical field.
