Job description

BILLING ANALYST

Role overview

The Senior Billing Analyst owns billing, receivables and flight-level cost data across the True North group: True North Airways (TNA), True North HeliCorp (TNH) and OMAR Aviation.

Located on the outskirts of Sudbury, the Senior Billing Analyst manages complex billing operations, interprets contractual pricing agreements, investigates billing discrepancies, and leads process improvements or escalations for an organization's revenue cycle.

Key responsibilities
Billing Execution and Reconciliations
  • Prepare and issue all customer invoices from the POS system upcoming completion of the flight and/or approval of the customer quote based on the terms of the customer contract (must be within 24 hours), for the TNA group of companies.
  • Ensure billing is accurate and in line with approved customer contract, quote or work order. Investigate root causes for billing errors, implement procedures for improvement and accuracy.
  • Responsible for maintaining accurate accounts receivable reports and collections, ensuring all overdue accounts are followed up with and collected.
  • Escalate aged or disputed balances to Manager and resolve disputes or billing errors with customers or finance team.
Reporting
  • Prepare and issue a weekly accounts receivable report to leadership.
  • Flag trends, aging issues and collection risks in that report.
  • Maintain billable vs non-billable tracking sheet in line with flight log by aircraft, preparing reports for leadership and finance.
Process Improvement & Automation
  • Create SOPs for billing workflows, recommend and implement processes and procedures for accuracy and efficiency of billing function, with consideration of internal controls.
Fuel Cost Accounting
  • Record fuel invoices from AvFuel and World Fuel as they arrive.
  • Match each fuel release to its flight.
  • Calculate burn per flight from start and end fuel on each operational flight plan (OFP).
  • Cost each flight's burn at the price paid at the station where the fuel was uploaded, in proportion to the upload consumed.
Maintenance cost accounting
  • Record maintenance costs as line items rather than lumped expenses.
  • Amortize life-limited parts over their useful life, so costs land in the periods that consume them.
  • Work with maintenance staff to apply the agreed allocation basis consistently (calendar life, flight hours, or whichever limit comes first).
Per-aircraft profitability
  • Capture every flight-related cost so each aircraft has its own P&L.
  • Maintain explicit line-item detail until a reliable cost baseline is established.
  • Recommend improvements to cost-capture and billing processes as the role scales across entities.
Qualifications
  • Bachelor's degree in accounting, finance or a related field, or equivalent experience.
  • 3+ years in billing, accounts receivable or cost accounting, with at least 2 years in a senior or lead capacity.
  • Proven ownership of a full invoicing-to-collections cycle.
  • Hands-on experience with job, unit or activity-based costing.
  • Advanced Excel skills and comfort working in POS and accounting systems.
Preferred
  • Experience in aviation, charter, helicopter operations or another asset-intensive business.
  • Familiarity with aircraft fuel invoicing, OFPs or maintenance records.
  • Experience amortizing life-limited or ratable parts.
Skills and competencies
  • Accuracy under deadlines: meets invoicing deadline while maintaining accuracy and precision.
  • Analytical rigor: reconciles fuel releases, burn and station pricing to individual flights.
  • Ownership: runs billing and collections independently, with minimal supervision.
  • Customer communication: pursues payment firmly while keeping customer relationships intact.
  • Process building: turns a new cost-capture model into a repeatable process across three entities.
  • Collaboration: works closely with operations, maintenance and accounting to get complete, timely data.
Reporting and onboarding
  • Reports to: President, with day-to-day coordination alongside accounting and customer service.
  • Onboarding: trained by the customer service, accounting and operations teams, with oversight from finance leadership.
  • Scope growth: TNA, TNH, OMAR
What success looks like:
  • Every invoice is issued in line with the billing/customer contract standards (upon flight completion, per terms of customer contract, or in advance with approved quote/work order).
  • Receivables are current and visible to accounting at all times.
  • A weekly AR report reaches leadership every week.
  • Every flight carries its fuel and maintenance cost, so each aircraft's true cost is visible
What True North Airways offers:
  • Competitive Salary range between $55,000 - $65,000 annually
  • Career growth in a rapidly growing company
