Job summary

PwC Canada in Ottawa is seeking a bilingual Billing Administrator to manage client billing and financial tasks essential to the firm’s performance.

You will set up client codes, monitor WIP and fees, draft invoices, respond to client questions, and help ensure timely billing while upholding PwC's standards and total rewards.

Responsibilities

• Set up new client job codes in the firm’s accounting software, including budget rates.
• Monitor WIP, review engagement letters to determine fees, and liaise with managers to capture expenses.
• Draft, finalize, and issue invoices to clients monthly to support partners’ billing targets.
• Respond to client invoice queries, including analyses and amended invoices as directed.
• Prepare, finalize and issue credit notes.
• Update and manage fee and billing schedules.
• Prepare monthly detailed WIP analysis to reflect expected recoveries; arrange month-end provisions.
• Monitor and manage partner’s financial investment including WIP, A/R and cash targets.
• Track fees against budget and generate global fee reporting.
• Generate aged A/R reports and review with partner to decide actions.

Job description

The Billing Administrator (“BA”) provides exceptional internal and external client service, working directly with clients and with partners, practice staff and partner assistants to provide key financial management tasks critical to the firm’s financial performance. BAs are responsible for managing their partners’ financial management activities including invoice preparation, WIP and accounts receivable management, and reporting.

• Set up new client job codes in the firm’s accounting software, including all associated maintenance (e.g., budget rates)
• Monitor WIPs, review engagement letters to determine fees to be charged, and liaise with managers to ensure out of pocket expenses are captured
• Draft, finalize, and issue invoices to clients on a timely basis to support achievement of partners’ monthly billing targets (i.e., NIDO)
• Respond to client queries regarding invoices, including preparation of analyses and preparation of amended invoices when required (as directed by the partner/manager)
• Prepare, finalize and issue credit notes
• Update and manage fee and billing schedules
• Prepare monthly detailed analysis of WIP (as required by the partner/manager) to ensure the WIP value reflects what is expected to be recovered in fees from the client. When it doesn’t, prepare month-end WIP provisions for review with partner/manager
• Monitor and/or manage the partner’s overall financial investment, including WIP, A/R and cash collection actuals to target (i.e. NIDO)
• Track fees against budget, and conduct global fee reporting as required
• Generate aged A/R reports and review with partner to determine actions required for aging accounts

The salary range for this position is $45,800 - $76,300. The posted salary range represents the expected hiring range for PwC locations in major city centres. Given our national recruiting approach, ranges may vary for positions in other locations. At PwC Canada, base salary is determined by your skills, experience, qualifications and work location.
