Job Description
The Marketing and Program Administrative Support (Bilingual) is responsible for providing administrative support to the marketing, programs, and operations team. This includes managing accounts payables and receivables, portal content management, shipping and logistics, and MyVendor portal support.

Job Responsibilities
Portal Maintenance (25%)
- Manage price list uploads and maintain supplier contacts, ensuring content is up-to-date
- Assist with maintaining other portal sections in collaboration with the marketing team
- Communicate price list updates to relevant stakeholders
Event and Industry Management Support (25%)
- Manage event website, including registrations, and communicate updates to stakeholders
- Monitor emails from CPS events and respond promptly to suppliers, delegates, and vendors
- Handle marketing or event materials, including banners, giveaways, and supplies, arranging shipping/distribution
- Maintain inventory of marketing supplies and keep storage organized
Field Support & Engagement (30%)
- Manage ServiceNow tickets for Client Incentive Program EFT payments (Quebec)
- Follow up on ServiceNow tickets with stakeholders
- Assist operations team with support tickets related to MyVendor Portal registration
Miscellaneous – Accounting, Reporting, etc. (20%)
- Monitor event attendance and engagement, prepare reports
- Monitor portal activity, prepare reports
- Manage accounts payables and receivables, including follow-ups
Qualifications
- Minimum three (3) years of administrative support and customer service experience
- Proficient in Microsoft Excel (intermediate level, including report development) and proprietary software
- Excellent organizational and time management skills
- Strong problem-solving skills and attention to detail
- Experience working effectively in a matrixed organization
- Fluent in English and French, with strong communication skills
- Excellent customer service and client relationship skills
- Self-motivated, confident, able to work independently and in teams
- Results-oriented with a proactive attitude, accountability, and a sense of urgency
- High integrity, good listening skills, perseverance, and ability to manage complex projects
- Adaptable to change and ambiguity, capable of functioning independently and collaboratively
