Job summary

Green Shield Canada (GSC) is seeking a Clinical Administrator to support Clinical Services & Administration. The role handles records, registrations, liability insurance, and platform setup in a fast-paced health nonprofit environment.

You will work under the Clinical Services & Administration Supervisor, performing duties like updating registrations, managing documents, training certificates and bilingual form control, while contributing to client care and confidentiality.

Qualifications

  • Fluent English and French required.
  • Completed post-secondary administration diploma or equivalent.
  • Three years related administrative support experience, preferably in health care.
  • Experience with word processing, databases and spreadsheet software.
  • Proficient with electronic scheduling tools and Microsoft Office suite.
  • Strong organizational, time management and prioritization skills.
  • Excellent verbal and written communication; ability to maintain client confidentiality.

Responsibilities

  • Updating records with new registration and liability insurance.
  • Setting up accounts on the platform with documents, qualifications and rates/roles.
  • Maintaining mailing and resource lists; sending training certificates/reminders.
  • Creating PDFs and web fillable forms; ensuring bilingual forms match.
  • Managing document control and coordinating third-party record requests.
  • Arranging meetings on Zoom & Teams for virtual case consults and webinars.

Base Salary: CAD $38,774.00 - 53,699.00

The Clinical Administrator reports to the Clinical Services & Administration Supervisor
Responsibilities in the role may be but are not limited to:

  • Updating records with new registration and liability insurance
  • Setting up accounts on the platform (adding documents, qualifications, governing bodies and rates/roles)
  • Maintaining mailing lists
  • Maintaining resource list
  • Sending training certificates/reminders
  • Creating PDF and Web fillable forms
  • Ensuring French forms match the English versions
  • Maintaining Document Control
  • 3rd Party Record Requests
  • Completing attendance letters
  • Creating meetings on Zoom & Teams for Virtual Case Consults and Webinars
  • Taking attendance for our records
  • Creating and sending certificates
  • Emailing registrants for topics/cancellation
  • Emailing presenters for more info/if they need tech help before the webinar
  • Processing monthly invoices
WHO WE’RE LOOKING FOR

  • Fluent communication in both English and French languages
  • Completion of a recognized post-secondary administration program at the diploma level or equivalent
  • Three (3) years related administrative support experience, preferably in the health care sector
  • Previous on the job word processing, data base and spreadsheet software experience
  • Experience with electronic scheduling tools
  • Excellent organizational, time management and prioritization skills
  • Excellent verbal and written communication
  • Excellent interpersonal and customer service
  • Demonstrated ability to work in a team environment and collaborate as an active participant with others in assisting with the delivery of care to clients
  • Ability to maintain and protect client confidentiality
  • Ability to produce high quality, reliable work
  • Ability to work well under pressure and prioritize multiple tasks
  • Ability to use good judgement in assessing difficult situations
