Located in one of Canada’s most beautiful areas, the Aviation & Guest Services Administrator role is based in Campbell River on Vancouver Island and is a full-time permanent position.
Responsibilities
- Client care, handling all private travel requests, planning, and logistics coordination for ownership, their family, corporate staff & executive, and guests.
- Provide day-to-day operations support to the flight department, including:
- Receive and process flight requests, quotes, approvals, and data entry in the scheduling platform for fixed wing and rotary aircraft.
- Manage all bookings for passengers, including flights, hotels, car rentals, connected commercial travel, and additional reservations (golf, tours, dinner, etc.).
- Provide departure and arrival services, passenger and baggage handling, communications, and general assistance. Ensure completion of guest verifications including documents, waivers, safety videos, special attention briefings, and other duties.
- Receive and process all crew and staff travel.
- Coordinate lounge and inflight catering for flights.
- Assist with helicopter operations and provide guest services.
- Manage inflight and lounge catering for flights.
- Carry out required flight following support for fixed wing and rotary trips.
- Provide ‘front of house’ services for visiting guests and vendors.
- Facilitate guest special requests such as printing photos and framing, party decorations, cards, meat shipping, etc.
- Assist FDM with general payments required for aviation services.
- Perform flight following for fixed wing and rotary trips.
- Attend and participate in all safety events, meetings, and training.
- Provide accurate and timely reports and data, including:
- Reporting safety hazards or incidents/non-compliance into the SMS.
- Certifying expense reports, reconciling credit cards, and approvals.
- Maintain knowledge of Transport Canada Civil Aviation Regulations.
- Maintain guest area cleanliness and stock supplies.
- Assist the FDM with administrative and support tasks. Perform other duties as assigned.
Requirements
- Valid Unrestricted Driver’s Licence.
- Valid Unrestricted Canadian Passport.
- Ability to push/pull/carry up to 50 lbs. unassisted.
- Climb stairs.
- Ability to pass background, security, and criminal record checks.
- Minimum 3 years of customer/guest services experience.
- Experience in the aviation or travel industry.
- Organized, self-motivated, flexible, and detail-oriented.
- Strong computer skills, including Microsoft Office & Excel.
- Experience working with high-net-worth individuals.
- Well-presented, professional with excellent communication skills.
- Sound analytical thinking, planning, prioritization, and execution skills.
