Responsibilities

The Opportunity

We are seeking a well-rounded Auction Administration Assistant who will provide a winning experience to our consignors and customers at our Puslinch location, handle end-to-end administrative processes throughout the auction cycle, receive payments, and complete MTO paperwork.

The Ins and Outs of the Job

Reporting directly to the Site Manager and working closely with the Inventory and Administration Manager, the Auction Administration Assistant is directly responsible for:

  • Handling customer inquiries by phone, e‑mail, and in-person
  • Receiving customer payments
  • Greeting and directing consignors and customers during intake and load out processes
  • Maintaining shared spreadsheets
  • Completing Carfax and lein checks for vehicles
  • Uploading vehicle declarations
  • Completing paperwork for incoming consignments
  • Recording and following up on delivery dates
  • Tracking consignment lots through the inventory process
  • Responding to incoming consignment requests
  • Following up with consignors on unsold lotsAssisting with auction take downs
  • Working according to the Ontario Occupational Health and Safety Act and Bryan’s health and safety policies and procedures.
  • Performing all duties with careful consideration to safeguard your health and safety, and that of your coworkers.
  • Completing other duties as assigned by the Inventory and Administration Manager and Site Manager.

  • Completion of high school, or equivalent life experience
  • 3+ years administrative experience (auction industry preferred)

  • Impeccable customer service skills as well as verbal and written communication abilitiesExcellent attention to detail

The Interviewing Process

Candidates can expect that the interviewing process will generally include:

  • An in-person interview with the Site Manager, Inventory & Administration Manager, and a member of the Human Resources Team (you’ll also have a chance to tour our facility!)

We understand that candidates who are currently employed will have to provide a notice period and respect the need for this vital transition. While we are looking to fill this role as soon as possible, we will establish a mutually agreed upon start date.

  • The hours of this role are Monday to Friday 8:00 am – 4:30 pm and Administration team members typically work 1-2 Saturdays each month from 8:00 am – 12:00 pm. Please confirm you will be able to attend all shifts.
