Job summary

Qualifications

Job Details

The Durham District School Board acknowledges that many Indigenous Nations have longstanding relationships, both historic and modern, with the territories upon which our school board and schools are located. We acknowledge that the Durham Region forms a part of the traditional and treaty territory of the Mississaugas of Scugog Island First Nation, the Mississauga Peoples and the treaty territory of the Chippewas of Georgina Island First Nation. This is a 12 month contract position

The Attendance Support Coordinator supports the administration of the Attendance Support Program (ASP) at the Durham District School Board (DDSB). This role supports people leaders by addressing questions related to attendance tracking, program phases, and communicating available supports and strategies. The coordinator works collaboratively with people leaders, ability management and HR business partners, to ensure an accurate and supportive program for employees.

Key Responsibilities

Provides Client Service & Guidance

  • Acts as a front-line point of contact for employees and People Leaders regarding ASP processes, attendance data, tracking and general program inquiries
  • Provides clear, timely, and accurate guidance on program requirements, supports resources
  • Responds to attendance related matters with professionalism, empathy and discretion, escalating sensitive or complex matters to leadership as appropriate.

Coordinates Attendance Support Program (ASP)

  • Coordinates the day-to-day administrative activities associated with the ASP to support consistent and effective program delivery
  • Monitors program activities and required follow-up, working collaboratively with People Leaders, Ability Management, HR Business Partners, and others
  • Maintains current information on available employee resources, including the Employee and Family Assistance Program (EFAP) and wellness supports, to assist People Leaders in supporting employees
  • Coordinates the development and maintenance of program resources, templates, and communications, and contributes to process improvements in collaboration with the People and Culture team and leadership.

Supports Technology & Data Management For ASP

  • Supports the maintenance of system wide ASP data using specific program software and integrated data from HRIS systems
  • Maintains accurate and current ASP data using designated program software and integrated HR Systems
  • Supports with accurate data entry, documentation, and tracking of program activities
  • Troubleshoots system issues and collaborates with others to resolve technical problems
  • Generates routine and adhoc reports on attendance trends, ASP participation, and program outcomes
  • Supports workflow improvements, digital form updates, and system enhancements for ASP processes.
Education:
  • Post secondary education in Human Resources, Business Administration, or a related field, or an equivalent combination of education and experience.
Experience:
  • Minimum three (3) years of experience supporting Human Resources programs, processes, or employee services, preferably within a large complex organization
  • Experience providing guidance and responding to inquiries regarding HR Programs, policies and processes
  • Experience handling sensitive and confidential employee information in accordance with established policies and privacy requirements
  • Experience maintaining HR data, preparing reports and/or identifying trends from HR information
  • Experience using HR Information systems or other program tracking and reporting tools
  • Experience working with an Attendance Support Program is preferred.
  • Experience working with confidential records, regulated processes, and unionized environments is an asset.
Qualifications and Skills
  • Strong attention to detail and ability to manage high volumes of confidential data
  • Excellent communication and interpersonal skills with the ability to foster positive relationships with diverse groups and apply a supportive, employee centered approach
  • Ability to interpret and apply HR legislation, Human Rights Code requirements, collective agreements, organizational policies and ASP guidelines
  • Strong judgement, critical thinking, and ethical decision making skills
  • Solid analytical skills to identify trends, assess root causes, and support data informed decision making
  • Strong organizational, planning, multi-tasking and prioritization skills
  • Ability to work independently with minimal supervision
  • Proficiency with Microsoft Office 365 and HRIS platforms.
Additional Requirements

Provide a current Criminal Record and Judicial Matters Check (CRJMC) screening upon hire.
