  • Fulfill additional duties within the Service Delivery Team as required.

Assistant Maintenance Coordinator (Maintenance)

Position Summary

The role of the Assistant Maintenance Coordinator is to provide maintenance package support to the Ship Maintenance Leads and the broader Service Delivery team for managing and coordinating their assigned maintenance tasks.

The Assistant Maintenance Coordinator ensures: TSN's complete all agreed maintenance activities to the required quality in a safe and environmentally friendly manner; TSN's deliver complete Objective Quality Evidence (OQE) for all completed tasks; management of all special tools and test equipment loaned to TSN's; and management of all material expended or returned by the TSN's.

The Assistant Maintenance Coordinator will assist the Ship Maintenance Leads in the generation and managing of reports and review of all documentation (OQE) required to close out maintenance tasks. The Assistant Maintenance Coordinator will support the Ship Maintenance Leads to ensure our contracted Technical Support network (TSN) have all the necessary documentation and materials to complete their designated maintenance tasks.

Regulatory Compliance Requirement

This position requires direct or indirect access to hardware, software or technical information controlled under the Canadian Export Control List and/or the US the Export Administration Regulations (EAR). All applicants must be eligible or able to obtain authorization for such access.

Key Areas of Responsibility
  • Executing assigned actions in Thales tools to ensure workflow momentum for all Preventative and Corrective maintenance defects assigned to the team;
  • Assisting with the organizing of the necessary Objective Quality Evidence (OQE) to support the internal close-out processes and to satisfy FTA/MEPM requirements;
  • Assist in drafting Statements of Work (SOW) for defect resolution and reviewing maintenance instructions to ensure service providers have sufficient information to complete assigned tasks;
  • Supporting the tracking and resolution of Corrective Maintenance, helping to provide internal (Engineering Services) and external stakeholders with necessary status updates;
  • Attending weekly AAT/Pre-AAT (AJISS Assignment Team) meetings with internal and external stakeholders to assist with capturing, formatting and distributing accurate meeting minutes;
  • Assisting in gathering data and presentation of materials for the Material State Disclosure Conferences (MSDC) and key performance metric reviews; and
  • Additional responsibilities within the broader Service Delivery Team where required.

Basic Qualifications

The following minimum requirements must be met:

  • Possess a technical program diploma in a marine technical field offered by a recognized technical institute or certified as a technologist/technician by a recognized provincial, state, or federal (national) licensing body in a relevant field; and
  • Possess a minimum of two (2) years of demonstrated practical hands on experience performing maintenance activities within the last five (5) years.
  • Demonstrated ability to work with and organize data sets with a high degree of accuracy;
  • Strong communication and reporting skills with the ability to confidently interface between various internal and external stakeholders;
  • Strong organizational and time management skills, capable of balancing multiple support priorities in a fast-paced waterfront environment;
  • A natural collaborator who fosters cooperative working relationships across multi-disciplinary teams; and
  • Strong computer literacy, with proven experience with Microsoft products especially Word, Excel and PowerPoint essential.
Preferred Qualifications
  • A foundational understanding of project management or project coordination is desirable.
  • Previous experience with document management or enterprise systems (SAP/DRMIS, MAXIMO, JIRA) desirable.
Physical Demand

Predominantly office based, but will also be required to work onboard Naval Vessels, or remotely (including from home).

Will be required to undertake inspections, including confined space entry, on Naval ships involving bending and twisting. Tasks may also require working at heights.

Must meet all federal government requirements to access Canadian government facilities, including Naval Dockyards

Special Position Requirements

Schedule: 40 Hours per week during Core Business Hours Monday-Friday.

Physical Environment: Office or onboard Naval ships alongside in harbor, or at sea, therefore must meet all federal government requirements to access Canadian government facilities, including naval dockyards

Travel: Occasional domestic or international travel may be required, which will include access to government facilities and assets, including naval vessels

Customer Location Based or Site Visits: Required to visit shipyards and Naval Dockyards during Work Periods.

Pay Transparency

The anticipated Total Target Compensation (TTC), inclusive of annual salary and bonus eligibility, for this role is $50,000 to 70,000 CAD Annual. The Company reserves the right to ultimately pay more or less than the posted range and offer additional benefits and other compensation, depending on circumstances not related to an applicant's status protected by local, provincial, and federal laws.
