Vancouver Island University is seeking an organized and service-oriented professional to join our Continuing Education team.

Reporting to the Director, Continuing Education and under the supervision of the Program Coordinator, Professional Development & Training (PD&T), the Continuing Education AssistantThe Continuing Education Assistant plays an important role in bringing courses and programs to life, providing administrative and operational support from initial planning through delivery. Working with instructors, students and colleagues across VIU, this varied role is well suited to someone who enjoys coordinating details, solving problems and providing responsive support n a busy, collaborative environment.


Duties:

The primary responsibility of the Continuing Education Assistant is to coordinate and administer the process required for the successful delivery of Continuing Education courses and programs. Working collaboratively with management, faculty, and support staff, the incumbent ensures program and course requirements are met, operational processes are completed efficiently, and students, instructors, and other stakeholders receive effective administrative support throughout the course lifecycle.
Duties include but are not limited to: assisting with the planning of courses and programs and entering them into the VIU course management systems; ensuring all course or program infrastructure needs are met throughout their lifecycle; ensuring all documentation for program requirements are submitted by students; supporting the delivery of events such as information sessions and orientations; submitting job posting, arranging interviews and preparing interview packages; inputting job appointments; updating websites; submitting purchase requisitions and expense claims; and following relevant policies and procedures related to job functions. The Continuing Education Assistant is also responsible for responding to all external inquiries and triaging to appropriate staff and departments when required, and has extensive contact with instructors, students and other VIU departments.


Required Qualifications:

Certificate or diploma in Office Administration, Applied Business Technology or related area
Three years of experience working in an office setting
A combination of education and experience may also be considered


Preferred Qualifications:

Experience working in a post-secondary school environment
Experience working with financial, HR, hiring and/or course management systems
