Job summary

Alto, a leader in Canada's high‑speed rail project, is seeking an Advisor, Communications and Correspondence to manage daily public inquiries and support transparent communications across Montreal, Ottawa, and Toronto.

You will develop messaging, draft responses, coordinate with subject matter experts, adapt content for diverse audiences, and create emails, articles, FAQs and presentations, guiding internal clients and improving public experience.

Qualifications

  • Bachelor's degree in Communications or a related discipline.
  • Minimum of five (5) years of experience in communications including at least three (3) years of experience in copywriting and developing a variety of communication products and documents.
  • Ability to translate complex information into clear, accessible content and strong verbal communication skills.
  • Demonstrated excellence in writing, editing, and synthesizing information.
  • Strong attention to detail and commitment to high-quality communications.
  • Excellent organizational skills and ability to manage a high volume of requests.
  • Proficiency with technology and office productivity tools, particularly the Microsoft 365 suite.
  • Bilingual in French and English, both written and spoken.
  • Ability to manage multiple priorities simultaneously and adapt quickly to changing priorities.

Responsibilities

  • Participate in the day-to-day management of public inquiries received through email, telephone, mail, and digital platforms.
  • Analyze questions, comments, concerns, and complaints from members of the public to determine appropriate responses and priority levels.
  • Draft, review, and send responses to the public, ensuring accuracy, consistency, and alignment with organizational policies and positions.
  • Coordinate the collection of information from internal subject matter experts and cross-functional teams to prepare complete and timely responses.
  • Adapt communications to various audiences while ensuring clarity, professionalism, and transparency.
  • Monitor and follow up on complex or sensitive inquiries and ensure their resolution.
  • Maintain tracking tools, databases, and statistics related to public inquiries and correspondence.
  • Develop and update response libraries, key messages, Q&A materials, and communication tools supporting customer service activities.
  • Identify recurring issues, emerging trends, and reputational risks arising from interactions with the public.
  • Provide recommendations to enhance communications, response processes, and the overall public experience.
  • Collaborate with Communications and Community Relations teams to ensure message consistency.
  • Support the management of sensitive situations or matters of significant public interest requiring strategic communications.
  • Act as a communications advisor to internal teams by assessing communication needs and recommending appropriate internal and external communication strategies.

The role

Every day, the Communications and Correspondence Advisor maintains an ongoing and proactive dialogue with the public. The role plays a key part in managing correspondence processes with members of the public and project stakeholders.

Reporting to the Manager, Communications and Special Projects, the Communications and Correspondence Advisor works closely with the team to foster open and transparent communication by responding to inquiries and correspondence from the public. The advisor is also responsible for developing messaging and communication tools to inform and raise awareness about various aspects of the project. In addition, the advisor provides strategic communications guidance to internal clients and equips them with the tools needed to enhance the effectiveness of both external and internal communications. On a day-to-day basis, the work produced may include emails, key messages, articles, FAQ content and presentations.
