Detailed Job Description

The Business Performance and Administrative Services in the Facilities Management and Development (FMD) department has a permanent opportunity for an enthusiastic individual who enjoys a busy environment with a focus on organization and strong attention to detail to support the Facilities Contact Centre (FCC). The FCC is the first point of contact for all NAIT community members and visitors in relation to providing environmentally healthy, safe, and comfortable spaces in which to learn and work. The successful candidate will have well-developed multi-tasking skills, collaboration skills, organization skills, and the ability to adapt to shifting priorities. A great, positive attitude and a strong customer service focus will be essential for success.

Key Responsibilities:

  1. Collaborate with FMD’s internal and external teams to complete maintenance work orders and resolve facilities issues. First point of contact for customers.
  2. Working with FMD’s Computerized Maintenance Management System (AiM Maintenance & Operations) to create, manage, and close out work orders related to maintenance, repairs, operations, and building user issues.
  3. Support NAIT’s purchasing solutions, ensuring purchases are appropriate, compliant, and accurate. Support the ordering of materials and goods for facilities maintenance and operations via PeopleSoft requisition entries and receiving of goods.
  4. Respond to NAIT community members and visitors regarding buildings and campus concerns, assessing priority requests.
  5. Coordinate daily financial tasks and responsibilities associated with maintenance, repair, and operations activities within CMMS and other enterprise solutions. This includes entering invoices and billing details on work orders, reviewing and posting of timecards.
  6. Maintain digital and hardcopy records associated with maintenance, repair, and operations.
  7. Undertake other duties and special projects as assigned/required.

Skills & Abilities:

  1. The successful candidate must have good interpersonal and communication skills with the ability to balance and organize conflicting priorities and high volume of work on an ongoing basis.
  2. A self-motivated individual who demonstrates high accuracy and attention to detail in their work.
  3. Experience using Computerized Maintenance Management Software.
  4. Experience in purchasing coordination and vendor relations.

Qualifications:

  1. High School diploma is required.
  2. Related post-secondary certificate or diploma is an asset.
  3. Demonstrated experience with CMMS software is preferred.
  4. Computer literacy, including extensive experience with Microsoft Office Suite is an asset.
  5. Several years of related experience.
  6. Equivalencies may be considered.

Applicants with education credentials earned outside of Canada should have their credentials evaluated by World Education Services or the International Qualifications Assessment Service (IQAS).

Remuneration: $44,256.94 - $57,140.72 annually, plus a comprehensive benefits package. (Classification – Administrative Support IV).
