Administrative Support II
Location: Glendale Sciences and Technology School

37.5 hours weekly following the school calendar (10 months per year)

Commencing October 7, 2026

The Administrative Support II position provides advanced administrative support to the school administration and staff, overseeing office operations, student records, and financial processes. This role oversees office staff, manages budgets and school fees, maintains confidential student records, and supports school events and communications. It requires strong organizational, financial, and interpersonal skills, and experience in a school environment is preferred.

Key Duties and Responsibilities
  • Provides administrative support to school/department operations
  • Manages correspondence, scheduling, and serves as a key contact for staff, students, parents, and the public
  • Prepares and distributes communications, reports, and documentation
  • Maintains organized records and supports school events and communications, including emergencies
Finance & Budget
  • Supports budget management, financial tracking, and reporting
  • Processes transactions, purchase orders, and reconciliations
  • Assists with timesheets, record accuracy, and financial procedures
Student Records / Attendance
  • Maintains accurate, confidential student records in compliance with legislation
  • Processes attendance and responds to related inquiries
  • Assists with student-related administrative tasks
Technology
  • Supports digital platforms, communications, and office systems
  • Maintains office equipment and coordinates technical support
  • Updates website and digital tools as needed
Desirable Qualifications:
  • High School Diploma or equivalent.
  • Post-secondary training in office administration or a related field is preferred.
  • Minimum of 3–5 years of administrative experience, preferably in a school or educational environment.
  • Demonstrated experience in financial management, including budgets, fees, and reconciliations.
  • Strong knowledge of student record management and provincial/district guidelines.
  • Excellent organizational, time management, and multitasking skills.
  • Proficiency with computers and office software such as Google Workspace, Atrieve, Rycor, School Engage, PowerSchool, and/or BMO Dynamics is an asset.
  • Ability to handle sensitive and confidential information with discretion and confidentiality.
  • Strong interpersonal and communication skills; ability to interact professionally with staff, students, parents, and the public.
  • Professional and friendly demeanor when interacting with students, staff, families, and the public.
  • Ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.
  • Ability to work independently and as part of a team, displaying initiative and flexibility.
  • Attention to detail in document preparation, filing, and record-keeping.
  • Adaptability to evolving office technology and administrative processes.
