Job summary

RBC Dominion Securities in Courtenay, BC is seeking an Administrative & Marketing Assistant to support a high-performing Advisory Team with administrative and marketing duties.

You will deliver quality client service, coordinate meetings, assist onboarding, update communications channels, and manage documentation to ensure compliance and timely client updates. This role requires strong Office skills and a client-focused approach.

Qualifications

  • Proven proficiency in Microsoft Office applications (Word, Excel, PowerPoint).

Responsibilities

  • Coordinate and prepare meetings for Advisors with clients and prospects.
  • Provide proactive client service with issue resolution and attention to detail; liaise with departments as needed.
  • Respond to client inquiries regarding accounts, documentation, and reporting.
  • Assist the Advisor team with client onboarding.
  • Help manage incoming communications from clients, Advisors and external partners.
  • Maintain client accounts and track timelines and key dates.
  • Ensure documentation is accurate and updated for compliance and regulatory requirements.
  • Update team communications channels (websites, LinkedIn, brochures, newsletters).
  • Support internal and external team marketing events.

Job Description

What is the opportunity? The RBC Dominion Securities branch located in Courtenay, BC is looking for an Administrative & Marketing Assistant to provide administrative and marketing support to a high performing Advisory Team.

You will provide quality client service and help deepen relationships with existing clients through ongoing, efficient support to both clients and the Advisor Team.

What will you do?
  • Coordinate and prepare meetings for Advisors with their clients/prospects.
  • Provide proactive client service with a focus on problem resolution and attention to details. Liaise with various departments for execution, where necessary.
  • Respond to client inquiries (account transactions, requests account documentation, account reporting, etc.).
  • Assist the Advisor team with client onboarding.
  • Help manage incoming communications from clients, Advisors and other internal and external partners.
  • Maintain existing client accounts and identify opportunities to contact clients: manage timelines and key dates for accounts
  • Ensure accurate and timely updates of all necessary documentation in compliance with internal controls and industry regulatory requirements. Maintain complete and up-to-date client files within appropriate systems.
  • Help update team’s communication channels: websites, LinkedIn, Facebook, brochures, newsletters.
  • Support internal and external team marketing events.
What do you need to succeed?
Must-have
  • Strong Microsoft Office Suite skills
  • High level of time management and organization skills
  • Demonstrated skills in providing world-class client service that will come across as professional, warm, and friendly to our clients
Nice-to-have
  • Canadian Investment Regulatory Exam, CIRE
  • Knowledge of RBC Dominion Securities’ systems and procedures
  • Experience in the securities industry is an asset
  • Experience in managing web-based media.

Compensation for this position will be determined by factors, including but not limited to the candidate’s experience, skills, registration status, performance, individual goals; market conditions; and business needs.

The expected base salary range for this position is $50000 - $60,000.
