We have partnered with a dynamic Design and Landscape Architecture company to support in the recruitment process for their next Administrative Assistant (Invoice Clerk).

Our vibrant client is looking to bring on an Administrative Assistant (Invoice Clerk) to support with invoicing and accounting. Joining a dynamic, creative, and team-oriented group, this person must have a positive and personable nature, and must have a love for dogs to get along with the resident office pups!

The successful candidate will have previous experience with accounting and invoicing functions as well as a comprehensive understanding of full-cycle accounting and general administrative tasks to support the office where needed.

We are looking for someone who is eager to learn, a self-starter, and proactive in optimizing workflow. Exceptional organizational skills, attention to detail, and the ability to effectively prioritize and manage competing tasks are essential.

Most importantly, this individual should bring a positive and enthusiastic attitude. They will thrive in a collaborative team environment, be capable of working autonomously, and be excited to engage in a lively and social workplace.

Duties and Responsibilities:

The key job functions are:

  • Creating, coding, and posting invoices
  • Verify and reconcile invoices to ensure accuracy of data
  • Communicate with vendors and internal departments to resolve any discrepancies
  • Working alongside Project Managers to receive information, updates, and timelines on projects
  • Data entry (confirming, updating, and removing information in accounting system)
  • Maintain accurate records of invoices and payments
  • Reception coverage as needed
  • Providing general administrative support for the office
  • Other tasks as assigned

Experience:

  • 2+ years of experience in invoicing is required
  • Previous administrative experience is required
  • Industry related experience is considered an asset

Base Salary: $22 – 24 per hour

Work Hours:

  • 40 hours per week
  • 9:00am – 5:00pm
  • Monday – Friday

Additional Notes:

  • This opportunity does not include relocation. It will be the responsibility of the candidate should relocation be required.
