Our Parks Department is looking for a dedicated Administrative Assistant III to join the team.

Position Responsibilities

As your main responsibility will be processing timesheets, you will be working closely with the large volume of staff within Engineering & Transportation and Environment & Parks. You will assist in payroll entry, ensuring payroll rules are being followed and time entries for CUPE staff are in alignment with current CUPE agreements. You will manage personnel files, staff changes, recognitions and updates. Also, aid department staff with payroll questions and concerns.

This position will also complete various administrative tasks and functions to support Directors, Supervisors and other departmental staff. Including inputting and managing statistical data for department operations and performance, participate in appropriate in-service and workshop programs and attend any required meetings and provide meeting coordination and logistics (including scheduling, preparing agendas, taking minutes and follow-up of action items).

You will be apart of a highly efficient administrative team and will be expected to develop, build, foster and maintain positive working relationships with administrative staff, department managers and other staff across the organization. Since you will be part of a team, all administrators will provide cross-training to be able to provide support and backup in the event of a staff member's absence. Areas of cross-training include, but are not limited to, Financial, Health and Safety, and Project support.

Qualifications

  • Office Administration Diploma or Business Administration Certificate or aminimum of 3 years experience working in a busy office environment in an administrative capacity is required. A combination of experience and education may be considered.
  • Experience in a municipal setting is an asset.
  • Demonstrate attention to detail and strong analytical skills. This role requires a focus on continuous improvement and methodologies.
  • Extensive experience with Microsoft Office Suite is required.
  • Ability to work in a fast-paced environment with frequently changing priorities. Require exceptional organizational skills with the ability to multi-task and manage multiple priorities efficiently.
  • Ability to work both independently and as part of a team, while exercising good/independent judgement, demonstrating initiative and being proactive is critical.
  • Strong communication skills (written and verbal) are essential.
  • Must have a proven ability to present yourself in a positive, clear and professional manner as you may be required to present to groups and provide training on administrative functions.
  • To effectively work with individuals across such a large service area you must also have strong interpersonal, networking and collaboration skills.
  • Work well in a fast-paced, frequently changing environment
  • Resourceful, self-starter, solution focused, has strong attention to detail, has a desire to learn and grow, and has exceptional interpersonal skills.

Hours

The standard workweek consists of an average of 35 hours,with the specific schedule being determined by theimmediate supervisor.

Compensation

Starting salary $29.88 per hour as per the Out-of-ScopeAgreement.
