Job summary

University Health Network (UHN) is seeking an Administrative Assistant I, Medical at the Toronto Western site. The role provides administrative and reception support within the DBS Surgical Movement Disorders program, supporting physicians and learners in a dynamic academic-clinical setting.

The position is 15 hours per week, permanent part-time, with 2 days per week (Tuesdays and Thursdays) from 08:30 to 16:30. Salary ranges from CAD 23.14 to 28.92 per hour; site is Toronto Western Hospital.

Qualifications

  • Completion of Grade XII.
  • Completion of a recognized post-secondary office administration program (certificate) preferred.
  • Two years of related clerical experience.
  • Word processing and spreadsheet experience; MS Office experience.
  • Experience in a health care environment.
  • Knowledge of medical terminology.
  • Knowledge of Emergency Assistance Codes.
  • Excellent organizational, time management and prioritization skills.
  • Very good interpersonal and customer service skills.
  • Good data entry/keyboard skills.
  • Good verbal and written communication; problem solving.
  • Ability to work effectively under stress.

Responsibilities

  • Performing reception responsibilities.
  • Providing clerical support.
  • Triaging referrals.
  • Organizing and maintaining patient charts, electronic and paper information filing systems.
  • Scheduling and coordinating appointments/meetings/events.
  • Maintaining calendars and schedules.
  • Coordinating unit administrative functions.
  • Ensuring efficient operation of the unit.
  • Performing other duties as required.

Job Summary

The Administrative Assistant I, Medical is responsible for providing administrative and reception support within the DBS Surgical Movement Disorders at the University Health Network Toronto Western site. This role involves managing a broad range of administrative responsibilities in a dynamic academic and clinical environment. The ideal candidate will be resourceful, detail-oriented, and able to manage multiple priorities while providing strong support to physicians and learners.

Duties
  • Performing reception responsibilities
  • Providing clerical support
  • Triaging referrals
  • Organizing and maintaining patient charts, electronic and paper information filing systems
  • Performing patient administration functions including scheduling and coordinating appointments/meetings/events
  • Maintaining written and/or electronic calendar/schedules, etc
  • Coordinating unit administrative functions
  • Ensuring the efficient operation of the unit, within the scope of authority
  • Performing other duties consistent with the job classification, as required
Qualifications
  • Completion of Grade XII
  • Completion of a recognized post-secondary office administration program at the certificate level or equivalent preferred
  • Two (2) year related clerical experience required
  • Previous on-the-job word processing and spreadsheet experience required; experience working in an Microsoft Office software environment
  • Experience working in a health care environment
  • General knowledge of office practices, processes and procedures
  • Knowledge of medical terminology
  • Knowledge of Emergency Assistance Codes
  • Excellent organizational, time management and prioritization skills
  • Very good interpersonal and customer service skills
  • Good data entry/keyboarding skills
  • Good verbal and written communication skills
  • Good problem solving skills
  • Ability to produce high quality work in accordance with Hospital standards
  • Ability to work effectively and safely when dealing with stressful situations
