Job summary

Hamilton Family Health Team is seeking an Administrative Assistant – Float to provide broad administrative support to our healthcare professionals in a team setting.

You will manage patient appointments, greet clients, update records, and coordinate communications within the practice. The role emphasizes confidentiality, organization, and service excellence in a busy clinical environment.

Qualifications

  • BA or diploma in Medical Office Administration or equivalent is required.
  • Exceptional customer service, communication and organizational skills are essential.
  • Excellent interpersonal skills and ability to work well in a team setting.
  • Demonstrated problem solving skills and initiative.
  • Proficiency with Microsoft Office is required.
  • Must be able to multi-task and prioritize in a busy environment.
  • Experience with EMR (Practice Solutions Suite) is an asset.
  • Experience in a clinical setting is an asset.
  • Reliable transportation with a G license may be required.

Responsibilities

  • Booking patient appointments, greeting patients, and answering the HFHT phone line.
  • Liaising with patients and families with professionalism and confidentiality.
  • Maintaining patient records by updating personal information.
  • Scanning and faxing patient information and reports.
  • Liaising with practice-based primary care teams.
  • Overseeing and scheduling room bookings and appointments.

Position Overview

The Administrative Assistant – Float will provide comprehensive administrative support to our healthcare professionals in a team setting.

Duties and Responsibilities
  • Booking patient appointments, greeting patients, and answering the HFHT phone line
  • Liaising with patients and families in a professional and compassionate manner while maintaining privacy and confidentiality
  • Maintaining patient records by obtaining, recording, and updating personal information
  • Scanning and faxing of patient information and consultation reports
  • Liaising with practice–based primary care teams
  • Overseeing and monitoring room bookings and scheduling

Summary

Classification: Non-Union

Multi-Site: Yes

Employee Class: Full-Time

Schedule: Monday-Friday; 40hrs/week

Date Available: ASAP
