Job Description

Sinai Health is seeking an Administrative Assistant aligned with this purpose to support our Office of Academic and Medical Affairs. Reporting to the Executive Vice President (EVP), the Administrative Assistant provides complete and confidential senior administrative support to the EVP, Vice President, Medical Affairs (VP), and Chief Medical Information Officer (CMIO). The Assistant is the first point of contact for the Office, interacting regularly with physicians, employees, and external contacts. The role requires discretion, tact, and diplomacy, especially in a fast-paced, challenging environment.

About this team :

The Office of Academic and Medical Affairs oversees credentialed staff (Physicians, Dentists, Midwives) at Sinai Health, guided by Ontario Public Hospitals Act regulations. Led by the EVP, the team manages professional staff by-law adherence, credentialing, and meetings of the Medical Advisory Committee, reporting to the Board of Directors. The Office also handles staff communications, wellness, professionalism, and quality and safety oversight.

Responsibilities :

  • Provide efficient day-to-day administrative support, exercising sound judgment
  • Manage calendars for EVP, VP, and CMIO
  • Coordinate meetings, conference calls, and events
  • Prepare correspondence and coordinate paperwork for physician appointments and reappointments
  • Coordinate Medical Advisory Committee and Credentials Committee meetings
  • Handle setup for Observers, Privileges, Network Access, OTN access, and related documentation
  • Support meetings of the Professional Staff Association
  • Assist senior administrative team members as needed
  • Perform other duties as assigned

Job Requirements : Mandatory :

  • Completion of a relevant College Diploma from an accredited institution
  • 3-5 years of progressive administrative experience or equivalent

Preferred :

  • Experience in healthcare environment

Skills and Knowledge :

  • Strong organizational and time management skills
  • Ability to work independently in a complex, fast-paced environment
  • Sound judgment, tact, and diplomacy
  • Excellent interpersonal skills
  • Proficiency in Microsoft Office Suite
  • Good attendance and work performance
