This position is responsible for providing a consistent, first-class experience to all those that come in contact with the Oxford Properties Vancouver Management Office and act as an Executive Assistant for senior leaders in the Vancouver office. Reporting to the Vice President of Leasing & Operations, this role will be the first point of contact for visitors and will entail executive support to the management team.

As the main office Receptionist, you will be the first point of contact for the Vancouver Management Office and will provide executive assistant support for senior leaders. You will handle the flow of people through the business and ensure that all responsibilities are completed accurately, delivered with high quality in a timely manner.

This role also includes general office administration, such as managing supplies, office equipment, meetings, and chairing the office social committee.

As a member of this team, you will be responsible for:

  • Demonstrating professionalism that supports inclusion, ensures confidentiality, and exemplifies the Oxford Way.
  • Acting as an Oxford / Vancouver ambassador through phone and interpersonal interactions.
  • Answering, screening, and forwarding inquiries while providing general information.
  • Greeting visitors, determining the nature of their visit, and directing them accordingly.
  • Maintaining security by following procedures and controlling access.
  • Managing mail, deliveries, and courier services.
  • Updating and maintaining telecommunication systems.
  • Managing office supplies and equipment within budget.
  • Supporting senior leaders with executive assistance tasks.
  • Booking and supporting meetings and events, including room setup and catering.
  • Supporting site initiatives and clerical tasks.
  • Coordinating bike parking enrollment and office mailbox management.
  • Distributing mail and correspondence.
  • Acting as a liaison for internal and external clients.
  • Maintaining reception manuals, office equipment, and vendor relationships.
  • Monitoring office expenditures and contracts.
  • Preparing correspondence and improving services and processes.
  • Handling purchase orders and supporting virtual meeting needs.
  • Maintaining a clean, organized office environment and petty cash.
  • Supporting administrative, accounting, and management team members as needed.

To succeed in this role, you have:

  • 2-3 years of experience in similar roles.
  • Post-secondary education preferred.
  • Proficiency in Microsoft Office, SharePoint, and Outlook.
  • Professionalism and strong communication skills.
  • Resourcefulness, proactivity, and organizational skills.

Base salary range - $62,000-69,000.
