Job description

We are looking for an Administrative Assistant.

The Administrative Assistant is responsible for telephone reception and administrative duties for the Disability Management Services Office (DMSO).

What you will do

  • Pay invoices and manage incoming phone call inquiries received on the department toll-free line.
  • Open, sort, and prepare incoming mail.
  • Scan mail into the document imaging system and set tasks for team members to review and handle the mail.
  • Create and mail correspondence to employees, clients, and service providers.
  • Maintain employee and client information in Canada Lifesystems, including entering or updating banking information, updating employee and client contact information, and entering invoice data for payment.
  • Investigate mail that has been returned to sender and resend the mail as appropriate.
  • Manage the distribution of files requested from the Records Centre.
  • Other administrative duties as assigned.

What you will bring

  • Completion of high school or equivalent.
  • Proficiency in Outlook, Word, Excel.
  • Strong keyboarding (50 wpm) and data entry skills required.
  • Ability to work well independently and as part of a team.
  • Well-developed organizational, time management, and prioritization skills.
  • Well-developed problem-solving skills.

Reliability Status security clearance is required before an employee can gain access to Protected Information, assets, or work sites as outlined by the Government of Canada website.

The base salary for this position is between $37,000-$50,100 annually. This represents base salary only and does not represent other variable compensation components of our total compensation (i.e., annual bonus, commission, etc.). If you are selected to move forward in our recruitment process, your recruiter will be able to discuss additional details of our total rewards program with you.
