Scope of Position
Transportation Data Entry Clerk responsible for accurately entering, updating, and maintaining transportation-related data in company systems to support logistics operations. The role plays a critical part in ensuring timely and accurate documentation for shipments, compliance, billing, and reporting.
Major Duties and Responsibilities
- Accurately input shipment details, carrier assignments, weights, and dimensions into the Transportation Management System (TMS).
- Maintain current records of freight costs, accessorial charges, and billing information.
- Upload and manage transportation documents such as Bills of Lading (BOLs), Proof of Delivery (POD), and invoices.
- Maintain the TMS by uploading accurate and updated rates and accessorial charges.
- Monitor and update shipment status and tracing information in real time.
- Communicate with internal departments and external carriers to verify and resolve data discrepancies.
- Assist in generating transportation reports and support audits and billing processes as needed.
- Audit and process carrier invoices for payment.
- Provide support to other team members and assist with miscellaneous projects, filing, and billing tasks.
- Ensure all required and mandatory training is completed on time.
- Demonstrate flexibility, especially during month‑end or billing periods, which may require extended hours to meet deadlines.
Shift and Pay
Shifts: Monday to Friday (9:00 AM-5:30 PM) with flexibility for longer hours and weekends. Pay Rate: $20 per hour + 4% vacation pay.
Eligibility
Open only to Canadian Citizens and Permanent Residents. The role requires onsite presence five days a week and may require traveling between locations.
Qualifications & Preferred Skills
- High school diploma or equivalent; post‑secondary education in logistics or business administration is an asset.
- 1-2 years of experience in data entry or accounting, preferably in a transportation or logistics environment.
- Proficiency in Microsoft Office, especially Excel; experience with TMS or WMS systems is preferred.
- Excellent typing speed and accuracy.
- Strong attention to detail and organizational skills.
- Ability to work independently and manage multiple priorities under tight deadlines.
- Familiarity with transportation documentation and freight terminology.
- Police clearance check is required.
