Job summary

Aquatera is seeking an Administrative Assistant to serve as the primary contact for the Distribution & Collection office and provide essential administrative and customer service support. You will handle reception, data entry, reporting, payroll support, and accounts payable/receivable tasks in a fast-paced environment.

Qualifications

  • Minimum one year of experience in an office administration role.
  • Certificate in Office Administration or related training is asset.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint).
  • Excellent attention to detail and accuracy.
  • Strong organizational, interpersonal, and time management skills.
  • Ability to prioritize multiple tasks and meet deadlines in a busy environment.
  • Customer service training or related experience is asset.
  • Experience with administrative and reporting systems is asset; familiarity with CityWorks, SiteDocs, ComplyWorks, and permitting systems is beneficial.

Responsibilities

  • Serve as the primary point of contact for customer service calls, consultants, salespeople, contractors, and visitors to the Distribution & Collection office.
  • Provide reception support, including screening and responding to inquiries by phone, email, and in person.
  • Prioritize and relay messages, gather and process required information and submit locate requests.
  • Assist with month-end administrative and reporting activities.
  • Complete data entry and reporting requirements for Alberta Environment and internal reporting systems.
  • Take meeting minutes and assist with meeting coordination.
  • Coordinate hydrant cart rentals and Private Hydrant Program, including billing and deposit administration.
  • Assist with accounts payable, accounts receivable, and payroll entry.
  • Support purchasing activities and inventory replenishment requests.
  • Perform general administrative duties including filing, ordering supplies, maintaining employee files, and coordinating internal communications
  • Assist team members with additional duties as assigned.

About the Role

The Administrative Assistant serves as the primary point of contact for the Distribution and Collection office, providing administrative and customer service support to the team. This role is responsible for a variety of office functions including reception, data entry, reporting, payroll support, accounts payable and receivable assistance, meeting coordination, and internal communications. The successful candidate is highly organized, detail-oriented, and able to manage competing priorities in a fast-paced environment.
