Our Dartmouth, NS office is looking for a highly motivated Administrative Assistant to join our Geotechnical Team.

Your Key Responsibilities

  • Working with Project Managers, produce client-ready invoices.
  • Updating databases, in particular for budget tracking purposes.
  • Support opening and set up of projects, reviewing contract agreements for special invoicing requirements.
  • Ensuring all assigned functions are carried out in compliance with approved policies, practices and procedures.
  • Regularly updating project budgets, helping Project Managers to manage their billings within budget.
  • Support project invoicing, having invoices generated based on instructions received from Project Managers and ensuring invoices are accurate and issued to the client in a timely manner.
  • Liaise with clients, field and office staff as required.
  • Perform clerical tasks including data entry, filing, photocopying, scanning, etc.

  • Proficiency in MS Office Suite and Adobe Acrobat.
  • Excellent problem-solving abilities.

  • Positive and proactive attitude.

Education and Experience

  • Previous administrative experience or post-secondary administrative education is considered an asset.
