Job description

Our client, a highly respected international business law firm, is seeking an ambitious and self-driven Administrative Assistant to join the Corporate Department of their Calgary office. This firm is known for fostering a supportive, team-oriented, and high-performing culture

Position Overview

The successful candidate will support the Corporate Services department by working closely with a team of law clerks, lawyers, and articling students. The role involves managing a high volume of work with tight turnaround times—both during and outside regular business hours—and contributing to transactions and corporate record-keeping functions.

Key Responsibilities

  • Maintain and update corporate minute books and related documentation.
  • Proofread and quality-check documents to ensure compliance with procedures and standards.
  • Maintain and organize files to ensure they are easily retrievable by principals, file/scan all paper or electronic correspondence/records into the firm’s document management system.
  • Track important dates and deadlines using the firm’s tickler system.
  • Reconcile invoices and manage monthly expense processing.
  • Respond to general inquiries regarding the location of minute books and which law clerk is responsible for each company
  • Scan and upload corporate documents into the firm’s database.
  • Draft and print share certificates.
  • Generate share registers, director and officer registers, and shareholder transfer ledgers.
  • Participate in special projects and initiatives as assigned.

Qualifications and Attributes

  • Completion or current enrollment in a recognized paralegal or legal assistant program is considered an asset.
  • Strong attention to detail and excellent judgment.
  • High level of initiative and strong organizational and project management skills.
  • Effective interpersonal skills and a collaborative mindset.
  • Excellent time management with the ability to prioritize tasks in a fast-paced environment.
  • Clear and professional communication skills, both written and verbal.
  • Ability to work independently and within a team setting.
  • Willingness to work overtime when needed.
